Merchandising and Buying Admin Assistant Job Description

Based at: Head office

Position reports to:Merchandiser and Buyer

Job Purpose Summary:

To be responsible for placing orders, managing intake, allocating stock throughout the business / season, monitor stock sales, reconciling invoices and delivery discrepancies.

Key Responsibilities and Accountabilities:

Merchandising

  • Facilitating the quick and efficient resolution of any stock issues / slow sellers / delivery issues
  • Managing stock within business with the direction of the assistant merchandiser and/or merchandiser
  • Actionning weekly reports and analysis for the Merchandising team
  • To develop excellent relationships with other teams within the business to aid the B&M process.
  • Being first point of call for retail store team queries
  • Ensure that the stock is in the correct place at the right time of year in the correct volumes to optimise profitability
  • To produce weekly reports and assist the AM producing Monthly / Quarterly reports

Buying

  • Action price changes and category amendments under instruction from the buying team.
  • Adding images on to Futura system for all existing and new products.
  • Manage samples into the Buying office, record and store
  • Help compile Trade show and Comp shop reports
  • Manage Online and Press reference sheets, images and copy.
  • Running line lists for the buying team
  • Chasing new lines with Suppliers
  • Updating range plan with SKUs and case packs
  • Contact with suppliers re: product and delivery issues
  • Assisting with Planograms for new product range launches
  • Other duties as requested including Adhoc reporting as required

Person Specification:

  • Proven experience of engaging with a wide range of stakeholders: Including Suppliers and Management.
  • Strong organisational, interpersonal and presentation skills.
  • Proven success in producing weekly reports and assisting the AM producing Monthly / Quarterly reports.
  • Strong commercial acumen through previous experience in industry.
