What You Need/Can to Do Before:

-If you have any questions send your proposed copies to the Student Government Association Vice President ()

-Submit Four Signed Copies of Proposed Budget to the Student Government Association BEFORE the intended meeting of Congress

-E-mail the budget to Student Government Association () BEFORE the intended meeting of Congress

-Find your bank statement and attach and scan it into your emailed budget.

What You Can Do During Congress:

-Congress is open to all students and members of the organization, knowledgeable of the budget and future plans of the organization, to answer any question that might arise.

What You Need/Can to Do After Congress:

-Come to the S.G.A. office to receive a printed copy to receive an explanation of the received allocated funds. We will email the organizations a brief summary of the organizations request the following day.

What Will Interfere with Your Budget Not Being Heard:

-NO signature

-No attached Bank Statement

-No date (Month, Day, Year) on any event.

-No electronic copy emailed to the Vice President ()

A Note From the Vice President:

-It is very easy to notice what budgets/reallocations are completed five minutes before Congress meets. These are the budgets/reallocations that are most likely to be denied because they rarely follow the above guidelines or listed format. Take the appropriate time to complete these documents. It makes your and our day easier. Clean organized budgets are easier to comprehend and therefore easier to allocate funds too!!

-We do not require that an E-Board member to attend Congress, but someone KNOWLEDGEABLE can turn a denied document around. We strongly advise sending a representative to Congress.

Description of Fall 2012 Events:

A.  Leadership Retreat

Date(s): August 22

Location: Administration Auditorium & U.C. 218

Description: The Leadership Retreat hosted by the Student Government Association Vice President, is an opportunity to bring student leaders all over campus together to work on continually improving skills as future leaders on campus and in the business world. An outside speaker is usually brought in to give outside guidance and advice. Class Executive Boards, Student Congress, Xavier Activities Board, Mobilization at Xavier, Student Government Association, two representatives from each X.U.L.A organizations are required to attend.

B.  Debate Watch Party

Date(s): October 3rd , 11th , 16th , 22nd

Location: U.C. Ballroom

Description: Student Government Association wants to provide the opportunity for students to make informed decisions about the future of the United States of America by providing a communicative environment to learn about the candidates’ policy and positions. This event will be open to the entire student body.

C.  I.O.C. Meetings

Date(s): September 10th, October 1st, November 5th

Location: U.C. 205 C

Description: I.O.C. meetings are monthly meetings that Student Government Association keeps all organization abreast of guidelines and changes throughout the school year. It is also an opportunity for organization to co-sponsor and communicate ideas of upcoming events on campus. This attended by the President of each organization.

D.  Gold Ball

Location: Barn

Description: The Gold Ball is semi-formal event open to the entire student body. The Gold Ball is to honor Organization of Fall semester for their continued dedication to the Xavier University of Louisiana campus. Open to all students.

If as organization you have been saving money for consecutive semesters for an upcoming conference. We would love to hear about it. Sometimes funds for a given semester can be tight, so we don’t want to penalize organization for being fiscally responsible.

This section can also be used to explain why funded from the previous semester were not used. Student Congress is always striving to allocate funds to organizations that used them properly. So if some “circumstances” inhibited your organization from using these funds. This is place to explain them.
