MONITORING WEATHER CONDITIONS
A dedicated person/persons within Repairs and Maintenanceis to monitor any adverse weather warnings.
The UK Met Office issues warnings to the public in order for residents to prepare and protect themselves against the consequences of a severe weather event.
Severe weather warnings are issued when the following conditions are expected:
- Severe gales
- Heavy snow
- Heavy rain
- Dense fog
- Freezing rain/widespread icy roads

AGREED MESSAGE
Dependent on the weather the Key Teamis to agree a message to all SixTown staff. The message needs to be clear and consistent and include guidance on:
- Is the building open?
- Reporting arrangements
- Use of flexi / annual leave
- Are all staff expected to come in?
- If home working is agreed, what outcomes are expected?
Agree message to be cascaded to all managers and put on Intranet site.
Managers are to inform staff and give details of how updates can be obtained. Make arrangements for key staff to get in through car sharing, public transport or arrangements for picking staff up.
One point of contact within each section for all staff phoning in.

Communication to staff
The Six Town Housing intranet site is to be updated giving alerts. It should give a clear message to staff on what is expected and give contact details, show weather conditions and give an update on the situation regarding public transport. To be updated regularly.

Signs are to be displayed on the doors of Reception advising if any services are not available.

KEY MESSAGE
Where Six Town Housing buildings are open, staff are expected to make every effort to attend work and should not assume that early morning travel disruptions will continue throughout the day. Staff should, therefore make continued efforts to check weather and transport information in order to try to attend work where it is safe and possible to do so.
If staff are unable to attend work at their normal start time because of poor weather conditions they should telephone their line manager as soon as possible to advise them of the situation. Where there are exceptional circumstances and staff are unable to travel to work due to continued bad weather and transport difficulties they should discuss this with their Line Manager and agree whether the time should be taken as Annual Leave or Flexi Time.
In these circumstances, managers should allow flexibility in relation to the amount of debit that an employee may accrue and carry over. If staff are not on flexi time they should discuss and agree with theirLine Manager arrangements for making the time back. Any working arrangements not covered by the above must be discussed and agreed by your manager.
WORKING FROM HOME PROCEDURE
- Anyone wishing to work from home must discuss and agree this with their Line Manager and must have adequate facilities and work to be able to work from home. Managers may request evidence of the work to be carried out before approving working from home.
- Before granting permission for working from home or Annual Leave/ Flexi the manager should take account of wider Organisational needs.

- Any problems in providing services within Six Town Housing.
- To communicate back to Adverse WeatherTeam.
TWO HOURLY UPDATES
Regular operational updates to be provided to consider options including revising priorities. In the case of snow and ice this may include the gritting of walkways around the STH buildings. This will be organised by Mark Foster.
