Minutes--The minutes of the December 4 meeting were distributed electronically. No meeting was held in January. The February meeting was cancelled due to snowy weather.
Information Items
· Capacity Analysis
o IUPUI has started working with Bureau of Facilities Management to look at trying out different models that will provide us with information on how many students we can serve. The initiative is starting with a high-level analysis of available instructional space, one component of an overall review. An initial review using two different models showed we are just about at capacity, additional confirmation of why we look forward to the construction and opening of the Science Engineering Research Complex. Study continues as we need to see which model has the most utility and then dig down to next layer. When more fully developed at IUPUI, the capacity model could be used for other campuses.
o The attachment provides information on the percent of registrar scheduled (general inventory) classroom utilization in Fall 07 and 09.
· CRM update
o The enterprise implementation of the CMC/Campus Management Corporation/Talisma CRM product is progressing slowly. The initial IUPUI implementation was version 8.0 and IU is switching to version 8.5 to achieve a better structure for the security needed for an enterprise implementation. This has delayed opening use of the product to more units. Currently the communications are limited to prospective students.
o IUPUI is pushing for moving forward with the development of the information interface between the product and enrolled student information stored in SIS.
o IUPUI is pushing for implementation of the Events Management and web forms modules. Admissions would use this for activities such as scheduling campus visits.
o A multicampus, multiunit Lifetime Communications Implementation Taskforce has been formed to oversee the policy development for the implementation. Since the product will be used by academic units, student services units, the Alumni Association, the IU Foundation, the President’s Office, etc, issues such as coordination of communications need to be addressed.
· Update on approval of certificates so students can receive federal financial aid
o In order for students enrolled in a certificate program (UG or Grad) to be eligible to receive federal financial aid, the certificate program must be approved by the Department of Education.
o The Dept of Education requires the Higher Learning Commission to provide a statement on certificates.
o The Higher Learning Commission recently provided us with a new list of information that must be provided on each certificate. Some of the information will require us to research historical records. An additional staff member has been assigned to the task with the goal of having the information prepared for the Higher Learning Commission within the next month.
· March 24 – Financial Credit Workshop, CE 305, 9:00-10:00a.m., 10:30-11:30a.m., 1:00-2:00p.m., 2:30-3:30p.m- Workshop designed to help students understand the advantages and disadvantages of credit, the costs associated with using credit, the danger signs of “credit stress”, and the importance of maintaining a good credit history.

· Proposed Mechatronics Subplan
· The proposed Mechatronics Subplan was distributed for an electronic approval. Since the curricular change is to an existing degree and is relatively small (replacing three TECH electives with three specific courses), this request does not require preparation of a full proposal. Instead, it follows a simplified form for requesting a new sub-plan.
· An insufficient number of responses were received, so the request was brought forward for review at the meeting.
· APPC recommends approval.
Academic Affairs Committee Report Bruce Kitchens, Chair
· AAC is discussing the following concerns.
o Classroom management policies including religious holidays
§ Students and instructors need to be more aware of the policies
§ It was noted that the Registrar website has a faculty section that provides links to relevant policies (http://registrar.iupui.edu/resources_faculty.html) including the Religious Holidays policy located at http://registrar.iupui.edu/religious.html
o Assessment of the PULS
§ The AAC will be discussing the use of the data.
Items for Review, Discussion, or Action
· IU School of Continuing Studies General Studies degree—Danny Callison
o Proposal goals include:
§ facilitating movement of students from ITCC to IU campuses.
§ providing an avenue for adult learners to complete a baccalaureate degree.
§ facilitating degree completion and increasing the numbers of degrees awarded by each campus.
o A question was asked about how students transferring to IUPUI can be able to be admitted to any academic unit and not just General Studies
§ Dean Callison responded that a process can be worked out with CLN to facilitate the transfer to other units.
o The CoBranding initiative is specific to the General Studies linkage between the two institutions and stresses the completion of the Associate Degree at Ivy Tech.
· Certificate in Motorsports Studies—Bob White
o This certificate compliments the development of the Motorsports Engineering certificate and degree.
o This is an interdisciplinary program to address the multitude of individuals involved in Motorsports who are not engineers.
§ Although some associate Motorsports only with cars, this certificate addresses all types of racing, include boats, motorcycles.
o APPC recommends approval of the certificate.
· Honors Minor in Leadership Studies—Cliff Goodwin and Stephen Hundley
o This minor was developed in conjunction with the Honors College.
o It is composed of honors courses that have been offered in the past.
o A suggestion was offered that language be added to the proposal that indicates that students will be taking honors only sections.
o Questions were asked about issues of courses nomenclature, Purdue numbering, and the name of the Honors Minor and the transcript notation for an honors in a particular major.
o SPEA asked for the opportunity for the faculty to complete the review of the proposal.
o Final action on the proposal was deferred to the next meeting.
· Campus Bulletin Update—Mary Beth Myers
o The campus units are on track with getting information into the web content management system.
o Concerns were expressed that the information converted for some of the units was place in inappropriate locations. Units will need to check their information carefully for logical placement since the conversion process was complicated.
o A static 2-year version will continue to be captured.
o In the future, units will be able to make updates to their copy of the information throughout the two-year period eliminating the need for major revision prior to each publication.
§ Some changes, such as faculty members will be made immediately upon notice of the change.
· PUL Evaluation Instrument Update—Mary Beth Myers
o
o The process for using the PUL evaluation instrument was demonstrated.
o PUL rosters will be created for all undergraduate classes at the end of each major term at the same time as final grade rosters are created.
o A one-page instruction document will be available on the Registrar website in the Roster section.
o Academic units will make determinations as to which faculty are expected to do PUL assessments during which terms.
o Questions about the roster process should be directed to the Office of the Registrar; questions about the assessment process or reporting of the data should be directed to Trudy Banta’s office.
