Paper Reduction Communication Strategy

Background

The Paper Reduction Work Group was charged with detailing cost savings associated with reducing paper consumption at theUniversity of Louisville.Paper reduction not only generates savings, but is also in alignment with the Provost’s sustainability initiatives.The Work Group analyzed paper reduction from each of these perspectives.

Audience Analysis

The Work Group identified two distinct audiences and means of paper consumption while at UofL:

  • UofLstudents
  • Course materials (papers, research, etc.)
  • On-campus consumption limited to Uniprint stations
  • UofL employees
  • Course materials (instructors)
  • Meeting materials (agendas, minutes, backup documentation, etc.)
  • Reports
  • Various documents for review, filing, etc.
  • On-campus consumption on networked and non-networked printers

Recommended Reduction Strategies

Raise awareness through participation in AIIM’s World Paper Free Day (October 28, 2010), a virtual event to promote paper reduction through technology and shifts in business and personal culture

Encourage faculty and staff to print duplex to reduce total paper usage

Encourage units to participate in the copier management program when feasible

Encourage units to use SharePoint for document sharing and collaboration

Encourage units to use scanning for document retrieval and sharing

Encourage faculty to use Blackboard for online delivery of syllabi and other course materials
