JOB VACANCY: Facilities Assistant – Maintenance and Repair
Part-time post offering 15 hours plus a week, averaged over a 4-week period, at £8.00 per hour.
The Forum continues to develop and expand its range of activities, increasing its role in the local community, and is looking for a new staff member to join its team.
Reporting to the Manager, the role will provide high quality facilities management support to include:
- Working with the Manager to arrange building servicing and maintenance;
- Undertaking minor repair and maintenance tasks;
- Planning the facilities team jobs list;
- Opening up and preparing the building for use;
- Closing and locking up the building;
- Setting up equipment for Forum users, e.g. table layout, raked seating, lighting, sound and projectors;
- Cleaning, including intensive cleaning, as required;
- Being responsible for the building as well as cashing up (health and safety, heating, customer service, etc.) when it is in use by hirers.
The successful applicant will be part of a small team of paid staff supported by volunteers assisting in the box office and at events and cinema. We are looking for someone who has the ability to be self-motivated as the job involves working alone some of the time.
The normal weekly hours will be split between morning and evening shifts across the 7 days. On occasions you may be required to work two short shift mornings and afternoon or a shift to cover setting or un-setting a room.In addition, the jobholder will be expected to cover the other facilities team members planned absence such as holidays, and work overtime as and when agreed with the Manager.The role will require a great deal of flexibility.
The successful candidate is likely to display:
- Practical skills and be organised to ensure that the building is maintained to a high standard;
- An ability to undertake a variety of minor repairs and maintenance tasks;
- A helpful positive attitude and practical approach to getting things done;
- Be self-motivated and able to work alone;
- A keen eye for cleanliness and attention to detail;
- The ability to deal with setting, sometimes heavy, equipment, or equipment that requires technical knowledge (training provided);
- The ability to manage a range of situations in a polite but firm manner;
- Display a professional attitude with good communication skills;

Job Description : Facilities Assistant – Maintenance and Repair
Time:Part-time post offering 15 hours plus a week, averaged over a 4 week period
HolidayHoliday entitlement is based on 22 days annual leave and eight Bank
Holiday days. Based on the standard 15 hours per week, your pro-rata holiday entitlement will be 90 hours per calendar year. Additional pro-rata holiday payments will be made quarterly in respect of any additional hours worked

Purpose of the Post
The post ensures the basic operational capability of the Forum and its facilities, byorganising the work of the facilities team; planning and scheduling repairs, maintenance and servicing; opening and closing the building with full regard to security, health and safety;setting up and taking down equipment, and ensuring the building is clean and ready for use. It will also involve regular contact with members of the public and users of the building, and will be important in maintaining a friendly, community-run atmosphere at the Forum.
Key Tasks
Facilities jobs rota
- Review the calendar of events and prepare in advance the weekly job list for the facilities team members.
Building repair and maintenance
- Undertake regular inspections with the Manager, internally and externally, to identify any required repair and maintenance;
- Undertake minor maintenance and repair jobs;
- Log all required maintenance and organise works either themselves, through the rest of the Facilities Team, via volunteer working parties or as appropriate through external contractors;
- Working with the Manager, liaise with external contractors to organise repairs as required. Obtaining quotes, gaining treasurer approval and checking invoices prior to payment;
Facilities Management
- Opening up and preparing the building for use, e.g. de-activating alarms, checking building integrity, level of heating, etc.;
- Setting up equipment for Forum users in line with the daily programmes, e.g. table layouts, raked seating, etc.;
- Regular cleaning, including meeting rooms,the Main Hall and Hall 2, in line with the schedule prepared by the Manager;
- Litter picking and cleaning to the outside areas including washing down poster boards etc.
- Intensive cleaning of the building as required, either after major events or to an annual programme covering less intensively used areas;
- As Duty Manager when hirers are in the building (but not normally at public events), being responsible for the building and facilities, including health and safety, heating, responding to queries from customers/hirers/members of the public, etc.;
- Cashing up at the end of shift;
- Making note of maintenance needs, taking remedial action where competent to do so, and/or reporting to the Manager;
- Closing down the building after use, e.g. checking building integrity, activating alarms, and locking up.
Party supervision
- Staffing of Bouncy Castle Parties, including setting up and controlling behaviour (parents present). Because of this, the post is subject to a DBS check.
The post is part of a small Forum team of paid staff, supplemented by volunteers on particular duties, and the jobholder will need to work flexibly and develop a sense of team working and community involvement.

Essential Qualities
- Experience of building management, either office or shop – ideally one used by the public – with attention to health and safety;
- Ability to organise self and plan jobs list for other team member to meet the operational requirements of the organisation;
- Practical skills in general repairs and maintenance e.g. painting and decorating; minor repairs to building fabric,furniture or equipment etc;
- Ability to identify requirements for repairs and to liaise with the Manager and trustees in relation to the completion of repairs in-house or via external contractors e.g. electrician;
- Self-motivated and able to identify tasks for self and others;
- Practical person who is able set out furniture and after training set up staging and basic sound, lighting and cinema equipment;
- Ability to work alone and respond to verbal or written instructions from the Manager;
- Ability to solve minor problems and emergencies as they arise;
- Excellent attention to detail;
- Understanding of health and safety in relation to setting up staging and electrical equipment;
- Pleasant and helpful manner towards the public and users of the building;
- Proven track record of punctuality, reliability and good time keeping;
- Enthusiasm to make a difference to this community-led facility.
Desirable Qualities
- Previous experience of looking after a building used by the public including locking up and opening up;
- Experience of/interest in setting up and operating sound, lighting and cinema equipment;
