Location: Jack Petchey Foundation, Canary Wharf
Main Purpose of the Post
This (new) role within the Jack Petchey Foundation and offers a great opportunity to help shape and lead the development of the work of the Jack Petchey Foundation.
The post holder will work closely with the CEO and play a lead role in ensuring effective and efficient systems for the operation and delivery of Jack Petchey Foundation strategic objectives.
Principle Duties
1. To work with the Jack Petchey Foundation CEO to deliver the mission of JPF in accordance with the agreed strategic direction:
· Plan, deliver, support and supervise work plans necessary to respond to the strategic objectives, mission and vision of JPF as agreed by JPF Board.
· With and on behalf of the CEO develop operational policy and procedure necessary for the effective and efficient delivery of JPF work.
· Meet monthly with the CEO to keep abreast of development and give advice to ensure that the JPF fulfils its regulatory and legal obligations as a charity working with young people.
· Provide information and respond to requests for information from JPF Board and JPF Patron, Sir Jack Petchey CBE.
2. To ensure appropriate HR management structures and policies are in place to deliver the work of the Foundation effectively and to manage members of the senior team as agreed:
· Management of the day to day work of the Foundation through management of members of the Senior Team - Head of Project Grants and Head of Grants Team.
· Ensure that policy and systems are in place for recruitment, selection, training and performance management of all JPF staff.
· Ensure that staff members under your management responsibility receive regular supervision, receive an annual appraisal, agree targets and identify development opportunities in order to deliver an effective and efficient service.
· Ensure good communication between staff and teams through focussed team meetings, team training and development activity as appropriate.
· Support the PA to CEO in ensuring that HR/management data is monitored, utilised and stored appropriately.
3. To oversee the operational functions of the Jack Petchey Foundation:
3.1 Finance:
· Contribute to preparation of the annual budget and cashflow forecast, working together with CEO and with input from the Senior Team.
· Oversee the finance function undertaken by the Senior Grants Administrator and liaise with Finance support provided by Petchey Business Group to ensure monthly/annual finance reporting is timely, accurate and the work is managed within agreed budget parameters.
· Ensure agreed financial management systems and controls are in place, adhered to and reviewed regularly.
· Contribute to the development of the JPF Annual Audit and Report.
· Maintain JPF anti-Fraud policies, assist the CEO with internal audit function where requested.
3.2 Administration:
· Ensure effective administrative systems are in place for on-going JPF activity and provide reports on programmes for CEO/JPF Board as required.
· Ensure the Foundation’s policies and procedures are up to date, relevant, and managed in line with best practice – including regular review/update of the JPF operational manual.
3.3 IT:
· Oversee the JPF IT Strategy in a cost effective and secure manner ensuring all staff members have hard/software essential to deliver their work effectively.
· Manage the relationship with JPF/PHP outsourced IT provider to ensure efficient use of resources.
· Oversee the use and development of software utilised for operational management (including Benefactor, report database, SAGE, website, Achiever database etc.) ensuring integration where possible and maximising efficiency through IT.
4. To promote the Jack Petchey Foundation ensuring a positive reputation and a high profile for JPF work:
· Take lead responsibility for agreed JPF partner programmes, leading on grant assessment, approval, management and delivery of JPF major programmes.
· Oversee delivery of JPF grants programmes as managed by Head of Project Grants and Head of Grants Team ensuring consistent, high profile, quality standards are met through effective monitoring, challenge and support.
· Support the Head of Project grants in research and development of new programmes in response to identified need.
· To act as an ambassador, representing the JPF at public events, presentations and meetings, ensuring a credible reputation for the JPF.
· Maintain good relationships with external stakeholders within the youth, charity and funding sectors to share, learn and consult on good practice.
5. Other responsibility for JPF partnerships:
· To represent the Foundation on the board of the Petchey Academy.
· To act as Chair/Vice Chair of committee(s) or carry lead governor responsibilities as agreed with the Petchey Academy Board and CEO of JPF.
6. Other Responsibilities
· To act at all times within the ethos and policies of the Jack Petchey Foundation.
· To undertake professional development activity agreed.
· To undertake any other duties as requested by the Chair/JPF Board.
Terms and Conditions
Hours: Full time (37.5 hours)
There will be some evening commitments (and occasional weekend) for which appropriate time off in lieu will be given.
When office based, hours are 9am – 5.30pm with 1 hour for lunch.
Annual Leave: 28 days including public holidays.
Travel & Expenses: The post-holder must have access to a car for this post and must hold a valid full drivers licence.
Travel expenses will be paid at public transport rate or at 45p a mile when a car is used for business use.
Disclosure and The post holder will be working with children and young people Barring Service: and must hold, or be eligible for a satisfactory DBS certificate.
Probationary period: 6 months
Remuneration: £ 52k - £60k per annum depending on experience and expertise.
