Job Title / Licence Co-ordinator
Post Objective: /
  1. To prepare multiple licensing applications for the 2018 Carnival.
  2. To oversee the processing of the applications with the Event Manager.
  3. To ensure that the Carnival is compliant with all applicable legislation and requirements of the relevant authorities.

Key Tasks

To prepare and process multiple licensing applications for the 2018 Carnival

Leadership

  • To be the direct contact with the CIC Carnival board regarding licensing applications and compliance.
  • To be responsible for the preparation, processing and progress of licensing applications.
  • To be the spokesperson on behalf of Carnival in relation to licensing applications and compliance with relevant regulations.
  • To have regular meetings with the Managing Director and the Event Manager and any other required personnel.
  • To manage a high volume of applications and oversee their processing with theEvent Manager.
  • To respond promptly to any queries or issues raised by the authorities in relation to any applications or compliance.

Operational Excellence

  • To prepare the licensing applications efficiently but accurately.
  • To ensure compliance with applicable legislation and requirements of the relevant authorities.
  • To keep up to date with developments in licensing legislation and compliance.

Community, Stakeholder, and Audience engagement

  • To manage all communication regarding licensing applications with the local community, authorities and associated organisations.
  • To respond to any licensing enquiries from the general public.

Event Management and production

  • To prepare applications and complete any other actions within the deadlines set by the Event Managerand the CIC Board.
  • To assist with updating the Event Management Plan and other key documentation.
  • To ensure staff and volunteer compliance with licensing conditions and policies.
  • To liaise with other Carnival committees and co-ordinators to ensure compliance with licensing conditions and policies.
  • To follow up on actions points from debriefs, internal meetings and meetings with agencies and authorities.
  • To prepare a report following the event setting out areas for improvement for the next year’s event.

Communicationsand Marketing

  • To liaise with the relevant authorities regarding licensing applications and compliance and build a strong rapport with key contacts at the relevant authorities.
  • To communicate the current status and progress of applications to the Event Managerand the CIC Board.
  • To communicate any difficulties or obstacles in relation to licensing to the Event Manager promptly.
  • To attend meetings with authorities on behalf of the Carnival.
  • To prepare a licensing contact database.

Finance and fundraising

  • To negotiate and agree best prices for the licensing applications in line with the budget.
  • To manage the costs of applications and liaise with the Treasurer to ensure the costs do not exceed the budget allocation for licensing.
  • To report any unanticipated costs to the Treasurer and Event Manager.

Person Specification

Essential:

  • Experience in the licensing sector in a senior role.
  • Experience and gravitas to operate with colleagues at a senior management level.
  • Strong relationship building skills, with experience of operating across a diverse range of stakeholders.
  • Effective leadership and coaching skills. Experienced in developing engaged and high performing teams, network of contractors, and volunteers.
  • Ability to prioritise and manage workload, use initiative, and meet deadlines without supervision.
  • Experienced in Planning, Project delivery, event management, and fundraising.
  • Excellent communication, interpersonal and commercial skills.
  • Ability to deal with sensitive and confidential issues using discretion and diplomacy.
  • Very high level of business and commercial acumen, and able to communicate financial status of operations and highlight key areas of focus.
  • Computer literate, experienced in use of MS office / Office 365 or similar and other related computer skills.

Desirable:

  • Worked in an African Caribbean Carnival, Social Enterprise, arts organisation, Community Interest Company (or similar) and there by able demonstrate good cultural awareness and appreciation.
  • Carnival / Arts / Outdoor events background.
  • Personal experience of African Caribbean culture and of carnival.
  • Artistic direction skills and experience.
  • Experience of social enterprise.
  • Event management experience.
  • Previous experience of Marketing Publicity and PR.
  • Previous experience of planning and delivering events.
  • Previous experience of working with volunteers.
  • Knowledge and experience in fundraising and grant application.
  • Experienced in commercial and event risk management.
