Deposit – Tues. – Friday
Open the locked drawer in T.S. and remove the two black money boxes, deposit bag, box of copier coins, printer page money and donations bag.
Fines deposit
- From the money box count out $35.00 dollars for each drawer.
- $25.00 in paper currency using mostly $1 bills
- $10.00 in coins using $4.50 in quarters, $4.50 in dimes, and $1 in nickels
- Place money back in money box
- Get the printout sheet from the circulation department. The total of the former days fines that was taken in will be on the sheet.
- Deduct any money that was reimbursed. Example: money owed to the postoffice. The total should match the amount of money that you have left.
- If you have more money than is on the sheet total, put into the donation bag. This is deposited on Tuesdays unless there is a good amount to deposit more often.
- Write the total on the printout sheet with the word “Fines” next to it.
- Give the money box to the Circulation Dept.
Copier deposit
- Go to the public copy machine with the deposit bag and the blue key
- Follow instructions for coin machine.
- Count money from machine and write the total amount on the printout sheet with the word “Copier” next to it.
- Give copier coins box to Circulation. There should always be a roll of quarters & a roll of dimes in this coin box.
Printer deposit
- Take all of the money from the printer page coin boxes (one from Reference and one from Children’s room)
- Place specified amount of coins back into the boxes.There should be 8 quarters, 15 dimes & 10 nickels in each of the boxes.
- Add the total amount from the two boxes and put it on the printout sheet with the word “Printer” next to it
- Give tin boxes back to their respective departments.
Finishing deposit
- Total the amount of the fines, copier and printer money, and write the amount under the three figures
- In another column, write the amount of currency on one line, and then the amount of coins underneath,
- If there are any checks, write the amount under the coins
- Total the amount of currency, coins and any checks. It should be the same amount as the first column
- Get the blue deposit book and write the amount of currency and coins. List checks individually.
- Put the money and the deposit slip in the deposit bag for the Clerk/Treasurer.
- Remove the ledger book from the drawer.
- Write deposit amount and date on top line
- Write “Hubbard” on second line
- Write “Hubbard Public Library” on third line
- Write out deposit amount of the fourth line
- On the fifth line, write the word “Deposit”, followed by the code for each account, and the dollar amount
- (310) for fines
- (320) for printer
- (340) for copier
- ((651) for donations
- If there is any money that does not belong in these four accounts, there is a sheet of codes in the drawer that must be used to identify where the money is from.
- Sign name on bottom of slip and return to the drawer.
- Put the printout sheet with all of the information on it in the Clerk Treasurer’s mailbox.
For Monday’s deposit
- Get Friday’s money out of deposit bag.
- After you have figured out Saturday’s fine amount, add in total of Friday’s fine amount. Staple two slips of printout paper together. Write total fine amount on the latest datedprintout paper.
- Follow above instructions, starting with “Copier deposit”
- Add in Friday’s printer pages amount to Sat.’s printer pages amount for total sum. Write on printout sheet.
- Follow above instructions for rest of deposit.
