Maintenance of Fire Station Exhaust System
Statement of Work
Background
Nederman, Inc. has installed Direct Source Capture Exhaust Systems in all Fire Stations of the City of Seattle. At the present time, the City of Seattle Fire Department has a minimum of one (1) Direct Source Capture Exhaust System per Fire Station.
The Direct Source Capture Exhaust System is designed to capture and remove exhaust fumes directly from the tailpipe of the vehicles. Before entering the Fire Stations, the firefighters attach the Direct Source Capture Exhaust System to the tailpipes of the vehicles. When the vehicle leaves the building, the system automatically disconnects from the apparatus at the door threshold. The major components of the Direct Source Capture Exhaust System are an exhaust fan with associated ducting and controls, a suction trolley (equipped with a cone shaped balancer), an extendable hose (with nozzle) and an electromagnet. The electromagnet attaches to the apparatus by a magnetic anchor plate secured to the vehicle.
The City of Seattle Fire Department requires the services of Nederman, Inc. (or their authorized representative), herein afterwards referred to as the Contractor, to provide preventative maintenance and repair of all Direct Source Capture Exhaust Systems that are installed in City of Seattle Fire Stations as designated in Attachment 1A.
The City of Seattle Fleets and Facilities Department shall administer this Preventative Maintenance Agreement on behalf of the City of Seattle Fire Department. The Fleets and Facilities Department Maintenance Manager, hereinafter referred to as the City of Seattle Representative, shall assume this responsibility.

Scope of Work
Preventative Maintenance:
The Contractor shall complete one (1) preventative maintenance service on all Direct Source Capture Exhaust Systems every one hundred and Eighty (180) calendar days in accordance with the procedures outlined below. For this service, the City of Seattle shall be charged a flat fee, per station, each year as outlined in the Pricing Schedule located at the end of this Attachment #1.
The Contractor shall develop an annual schedule for preventative maintenance requirements. Within thirty (30) calendar days from the date of notice to proceed, the Contractor shall deliver the schedule for preventative maintenance, in writing, to the City of Seattle Representative for approval.
Inspection, adjustments, and system testing will be conducted to insure that all the Direct Source Capture Exhaust Systems perform in accordance with design specifications.
The following inspections and service shall be performed as part of regular preventative maintenance service:
a.)Adjustments as needed
b.)General hose condition and equipment inspection and service to include, but not be limited to, the following items:
1.)Check & clean the internal contact surface of the nozzle and the net screen inside the nozzle.
2.)Check the electro magnetic operation, the attachment and the connector. Clean the magnet and the magnetic holder on the vehicle.
3.)Check the Hose carrier.
4.)Check the runners of the balance block.
5.)Check the operation of the balance block; make sure that the hose lifts up properly
6.)Check the cable connection to the balance block.
7.)Check the circuit breaker positioned on the balance block. Check the break-pin and operation.
8.)Check all hoses.
9.)Check the Guide rail spring pin.
10.)Check the electrical installation.

If in the course of performing preventative maintenance, the Contractor observes damaged or worn parts requiring replacement, the Contractor shall notify the City of Seattle Representative and request approval to replace such damaged or worn parts. Upon approval of the City of Seattle Representative, the Contractor shall perform necessary replacements. The parts shall be replaced with no additional labor charged beyond the flat fee charged for preventative maintenance service as outlined in Payment Schedule. The only additional charge shall be for the Parts, specifically, which shall be billed to the department as per Pricing Schedule. This policy shall apply even if an additional trip to the site is necessary, due to parts availability. However, if approval for replacement is not delivered to the Contractor while his personnel are still on-site, through no fault of the Contractor, then additional labor charges for the replacement are authorized, at the rates outlined in Payment Schedule.
Repairs and Service
The City of Seattle Representative shall contact the Contractor immediately whenever physical damage has occurred or any other malfunction is noted. The Contractor shall have trained service personnel available on 24-hour notice (excluding weekends and Holidays). The Contractor shall maintain a parts depot to provide the parts listed in the Nederman Fire Station Price List within two (2) business days from notification.
Repair and service calls, beyond those covered under Preventative Maintenance in the above section, shall be billed at the applicable rate for labor and parts as per Payment Schedule, attached.
Any repair or service call that will incur a total cost, excluding tax, in excess of eight hundred and fifty dollars ($850) must be authorized in writing by the City Of Seattle Representative prior to commencing work.
Performance Period
The vendor will perform the services specified in this contract for a period of five years, until 2/28/10. Prices shown in the Pricing Schedule are firm-fixed for the first year of the contract. Either party may propose changes during the remaining term of this agreement, provided thirty (30) days advance written notice is provided.
