TEAM LETTER

Dear Parents/Guardians

I am pleased to advise that your child has been selected and invited to join the Metropolitan East 10 – 12yrs / 13 – 19yrs ______Team, to represent the Region at the forthcoming State Championships.

Information and conditions relating to inclusion in this team are as follows:

Participation Policy

In accepting a nomination for selection to a Metropolitan East and/or Queensland School Sport Team, the student must ensure that prior commitments will not affect his/her availability and full participation in the championship/exchange programs.

Transport

It is Metropolitan East School Sport Board policy and a condition of inclusion in this team that students travel to State Championships on transport arranged by the Regional Sports Office.

Accommodation

A limited number of billets will be available for those children requiring them. However, billets must not be requested for those students who can make private arrangements or who are accompanied by parents whose duty it is to make the necessary arrangements to accommodate their child.

It is a requirement of selection in this team, that team members attending state championships conducted in the Metropolitan East Region, assist with the billeting program if requested.

The Accommodation Request Form must be completed and returned to ______no later than ______. The conditions listed regarding acceptance of billet must be observed.

·  No accommodation will be arranged for parents.

Apparel

The uniform requirements for members of this team are listed on the Apparel Order Form. Some items are compulsory and others optional. Please indicate which of the compulsory and optional items you require. A sizing chart has been included to assist you when ordering apparel. Note that this is a guide only. During the Championship the Team Manager may be contacted, in an emergency, during the Championships on ( ) ______(Night number).

Whilst the concerns of parents/guardians are appreciated, it must be understood that team managers and coaches are qualified and experienced.

·  Their job is to manage and coach the team members and develop team spirit.

·  Parents/Guardians' cooperation and understanding is expected.

·  Managers and Coaches are prepared to discuss a team member's previous and current training program with a view to incorporating it in the team-training program, but the coaches do have the FINAL SAY in what team training the team members shall do.

Team officials are permitted to seek medical attention if deemed necessary with parents/guardians being responsible to meet costs incurred

Team Training

Students will be advised as to if, when and where the team will be training prior to the State Championships. It is essential that ALL team members attend training sessions. The Coach/Manager MUST be notified if students are unable to attend.

Failure to meet team training requirements will result in the withdrawal of your invitation to participate in this team.

Team Levy

To this figure add the cost of the optional and compulsory uniform items purchased to establish the overall cost for your child.

I suggest spending money be kept to a minimum but players will be required to purchase their own lunches.

The team levy must be paid in full, by the stated due date.

Team Photograph

All team members have been ordered a photograph. The cost to be included on the apparel order form.

The taking of photographs (for personal / family use) is permitted at Queensland School Sport events except where an event is held at a venue where venue management prohibits such photography.

National Championships

The 13 – 19yrs / 10 – 12yrs National ______Championships will be held in______in ______.

Championship Leave

All team members are advised that leave will not be granted to participate in any other sporting activity from the time of State Championship team assembly. Any student requesting to leave the championship for any reason must seek the approval of the team management. All students agree, by accepting this invitation to compete, that they commit fully to the team, both in training and for the duration of the championship.

Behaviour

The Metropolitan East School Sport Board Behaviour Management Policy States:

·  The Team Manager is the representative of the Sport Board and must take all reasonable steps to ensure the Code of Behaviour is enacted by officials and competitors.

·  The Team Manager has the authority and responsibility to institute disciplinary procedures to deal with behaviour contrary to the code of conduct.

·  Where the disobedience, or misconduct is so serious that local disciplinary action is inadequate, consultation between the parents, the Team Manager and the Regional Sport Officer will determine subsequent actions.

Please ensure that your child reads and understands their responsibilities set out in the attached Team Members Code of Behaviour.

While a member of this Metropolitan East Team, the students' behaviour must be of the highest standard. Any student whose behaviour is unacceptable may be excluded from participating with the team and may be sent home at parents/guardians expense.

Pre-Championship Activities

Team members are advised that they should, where possible, avoid involvement in activities that may lead to an increased risk of injury in the period leading up to a State Championship. The Metropolitan East School Sport board cannot guarantee a refund of fees paid in the event of the withdrawal of a student.

Forms

In order to secure your child's position in this team, the enclosed forms must be completed and returned, together with your cheque, to the Team Manager at the address listed. Failure to do so may result in a reserve being invited to replace your child.

Privacy Information

Metropolitan East School Sport is collecting your personal contact details in accordance with the Information Privacy Act 2009, in order to contact you regarding your child representing Metropolitan East in school sport activities. The information will only be accessed by authorised regional sport personnel. Your information will not be given to any person or agency unless either you have given permission or it is required by law.
