TO THE ADMINISTRATOR ADDRESSED

Subject: Federal Reimbursement Opportunity for the 2010-2011 School Year

Dear Superintendent:

This letter is to notify you of the opportunity to maximize your federal revenue through participation in Medicaid Administrative Claiming (MAC) and/or the School Health and Related Services (SHARS) in the upcoming 2010-2011 school year.

The MAC program provides Texas school districts, including public charter schools, the opportunity to obtain reimbursement for certain costs related to administrative activities that support the Medicaid program. The SHARS program provides Texas school districts, including public charter schools, the opportunity to obtain Medicaid reimbursement for direct medicalservices and certain costs associated with direct medicalservices provided to students with special needs under the Individuals with Disabilities Education Act (IDEA) and documented in a student's Individualized Education Program (IEP).

If you are currently participating in the MAC and SHARS programs there is no action you need to take in order to continue participating for the upcoming 2010-2011 school year.

If you are not currently participating in the MAC programfor the upcoming 2010-2011 school year, the district must first enter into a MAC contract with the State.

  • To obtain a MAC contract with the State of Texas, please complete the participation documents located on the MAC ISD website at:

If you are not currently participating in the SHARS programfor the upcoming 2010-2011 school year, the district must first be enrolled as an active Medicaid provider for SHARS.

  • To enroll as a SHARS provider, please complete the Texas Medicaid fee-for-service providerenrollment form on the Texas Medicaid and Healthcare Partnership (TMHP) website at:

In order to participate in either program this district must also participate in the HHSC Random Moment Time Study (RMTS). In addition to the enrollment/contracting process, each district must meet HHSC training requirements that include attending RMTS training at the beginning of the upcoming school year in August.

School district’s that are interested in participating for this upcoming school year should consider beginning the process immediately, as it may take a couple of months to complete all the paperwork and training requirements. Additional program and contact information can be found on the HHSC Rate Analysis Departments website.
