Information

Information is stored in Client Files for 2 reasons

·  To be transferred into a booking File, e.g. a telephone number

·  For information purposes, e.g. agency procedures and policies

There are 3 different levels of Client Files

·  Agency Files

·  Business Files

·  Personal Files

Each file is made up of a number of lines, maximum 200 in which the information is entered and stored.

Format

The format in which every line must be entered, regardless of which type of file is being created, in order for it to be accepted into the Client File is as follows:

Explanation:

3 – Line number in Client File (mandatory) Y – Transfer code (mandatory)

/ - Slash (mandatory except with transfer code B)

P.CPHB*1234567 – Data and free text (mandatory except with transfer code B)

When creating a Client File you may store any data on any line, however it is good business practice to use the same line numbers for the same type of information in each Client File.

Examples:

1-2 Names

3-9 Phone Numbers

10-16 Addresses

To advise the Galileo system which information is to be transferred to a Booking File and which is not, when the data is being stored in the Client File, it needs to be preceded by a transfer code.

Y – Always Move, the data will always be moved into the Booking file when moving the Client File

O – Optional Move, the data may optionally be moved into the Booking File

R – Related Move, is similar to the optional field and do not move automatically. It is used when a field is segment or passenger related e.g. SSR, Mileage Information and Associated Remarks. It must be stored only in a Personal File, it requires a name in the Booking File before it is moved

N – Never Move, the data is for information purpose only and will never be moved into the Booking File

B – Blank line, used for clarity within the Client File

Data

In a Client File you may store

·  Any data that you would normally enter into a Booking File

-  Vendor Remarks, e.g. 52O/V.AYY*WIDE SEATING REQUIRED

-  Telephone numbers, e.g. 3Y/P.CPHB*1234567

·  General information

-  Contacts

-  Airlines Procedures

You may not store

·  Availability entries

·  Vendor Locators

·  Seating entry

Fields that requires a date must be entered using an O transfer code and the date must then be specified in the move entry.

Example: 30O/T.TAU/..... 31O/RB......

(It needs to be 5 dots after the entry, for RB it will be 6 dots since the first dot is part of the entry)

The Agency File is automatically created when Client File functionality is switched on for the agency. The lines can be updated in the same way as a Business File.

Create Business File

You can build a Business account for each account you service. All customer data Client Files are built using the same method and involve the following 4 steps

1.  Create the Client File by giving it a name

2.  Input the required data

3.  Modify data if required

4.  Save the data

The name you give it should be short to reduce keystrokes on later retrieval. It must be minimum 2 and maximum 21 characters. (Once you have initialised the file, you may not make any other Galileo entry in the same work area until you have saved or ignored the data.

1.  Create the name of the Client File

2.  Input Data

1N/DSB CORPORATION Information on line number 1 and the name (N for never move)

3Y/P.CPHB*1234567 To put in a phone field on line number 3 (Y for Always move)

30O/T.TAU..... Ticket information on line number 30 (O for Optional move)

3.  Modify data if required

4.  Save your data

CE Client File End

It is only necessary to save a Client File after the time of the initialisation, when making amendments the new information is effective immediately, it cannot be ignored

Create Personal File

Before creating a Personal File a Business File needs to exist. A personal File must be linked to a Business File, you can build a separate Personal File for each person travelling for a company for which a Business File exists. The procedure is identical to building a Business File, except initialising the File. (Creating the name)

3.  Modify if required

4.  Save your data

C*R To redisplay your Client File when you are in it

C*B To redisplay the last Business File viewed

CLB Display list of all Business Files in your office

CL*20 To see business File number 20

Modifying data in a new Client File

Moving Customer data

There are different ways of moving the information to the Booking File.

·  Multiple Move, moves all Y lines from specified display level of the Client File plus the levels above it. If a Personal File is specified or displayed, a multiple move would move all Y lines from the Personal File plus all Y lines from the associated Business File and Agency File.

If a Business File is displayed or specified, Y lines from the Business File plus the Agency File would be moved.

-  Displayed Move is when you first view the Client File before moving it

C*DSB Display the Business File

-  Blind Move is when you do not view the Client File before moving it

CMT/DSB Moves the Client File

·  Single Move, only moves lines from the level of the specified Client File, plus the agency phone number from the Agency File

-  Displayed Move

CMP/ Client File move Personal File only

-  Blind Move

CMBT/DSB To move Business File only

CMPT/DSB To move Personal File only

·  Select Moves, if you want to move selected lines of data in a Client File. In that situation all Y, O and R lines are considered optional and only the one specified will be moved to the Booking File

-  Displayed Move,

C*DSB Display Business File

C*DSB-LEE Display Personal File

CMB/S/+3+4 Move selected lines

·  Related Moves, moves only the R lines in the Personal File. The items can only be moved into the Booking File once there is a name and itinerary present
