Job Title:Business Manager to the Office of the Chief Executive

Purpose of the Role:
This role is responsible for providing support to the Office of the Chief Executive (the Office), comprising the CEOand the Deputy CEO. Acting as primary conduit with key internal and external contacts and stakeholders, owning specific tasks and projects, and identifying and resolving a diverse range of matters to ensure that the Office delivers all objectives and engagements to a high standard.
Detailed PortfolioAccountabilities:
- Delivering a comprehensive range of support activities for the Office,proactively troubleshooting and resolving issues which arise to allow the office to deliver in line with expectations
- Ensuring the Senior Executive Secretaries, on behalf of the CEO and Deputy CEO, conduct all relevant scheduling activities including organising events, preparing itineraries, managing multiple calendars and associated arrangements, ensuring all concerned are aware of upcoming commitments and responsibilities
- Collating, reviewing and preparing a range of papers and correspondence, proactively identifying and distilling pertinent issues where appropriate
- Communicating directly, and on behalf of theChief Executive Office, with ELT/SMT members and others on matters relating to the CEO/Deputy CEO’s activities
- Managing projects for the Office, researching and preparing appropriate reports or presentations independently
- Appropriately handling all non routine correspondence and documentation for the Office, including financial reports and documentation of a sensitive or confidential nature using a high degree of discretion
- Attending meetings in the absence of the CEO/Deputy CEO to ensure the relevant information, actions and follow ups areactioned
- Researching, prioritising and following up on incoming issues and concerns for the Office
- Reviewing and improving operating practices within the Executive PA group to ensure it operates to its optimum
- Set up and manage agreed communication system and protocols to ensure professional engagement and consistent standards in all communications from the Office
- Degree in English, Business, Administration, Management or similar discipline is essential
- Significant previous experience supporting senior executives
- Highly developed verbal and written communication abilities
- Excellent organisational, time management and prioritisation skills
- Ability to troubleshoot and provide solutions with sound judgement
- Proven ability to multi-task to deliver in a dynamic environment
- Adaptability to work on own initiative
- Good interpersonal skills with high degree of discretion and professionalism
- Keen attention to detail
- PC/IT skills - MS Office with advanced skills in PowerPoint, Word and Excel
- Ability to research, digest, analyse and present materials clearly and concisely
- Some flexibility on working hours will be required to meet pressing deadlines
