Checklist for Change of Watch (CoW)

When / What / Who / Comments
  • Overall responsibility
/ Cdr / Dress code: blues and greys or equivalent
4-6 months ahead /
  • Put together a proposed budget for the CoW
  • Get Bridge approval of proposed budget and planned location, date
  • Identify date of CoW
  • Identify location of CoW; book location
  • Put down deposit to hold booking if needed.
/ Cdr / Early booking advisable because places get booked early in the spring (weddings etc).
3-4 months ahead / If self catered such as Elks Hall
  • Put together a planning committee to plan the CoW
  • Consider:
  • Catering arrangements
  • DJ
  • Door prizes
  • Table decorations
  • Room decorations
  • Post party clean up arrangement
/ Cdr / 4-5 people works well.
2 months ahead / If catered facility such as Chateau Cargill:
  • Make menu selection
  • Organize a DJ:
  • Who is it
  • Tell him/her kind of audience so he can preselect music
  • Confirm he has mic the speakers can use
  • Organize door prizes
/ Cdr
  • Purchase Cdr hat and burgee, Past Cdr. hat and burgee, and 1st Lt. burgees from National + 2 Lt Cdr burgees for XO and STO
  • Have tickets printed for sale
  • Arrange for PMD Rep to be invited (+spouse?)
  • Door prizes – who will solicite? How will they be awarded?

1 month ahead /
  • Get list of Merit Mark Awards from National
  • Identify Master of Ceremonies, and confirm program with him/her
  • Advise MC of names of guests, life members and Past Commanders, PMD rep etc that should be introduced
  • Print up CoW Program
  • Start sale of tickets 4-6 weeks ahead
  • Decide/confirm who will sit at head table

  • Gift for outgoing Cdr.
/ Incoming Cdr
2 weeks before /
  • Verify that Merit Mark Awards are available
  • Make sure they have proper gold bars
  • Make sure have plaques for 5 and 10 year members
  • Stuff bars, plques certificates into envelopes
  • Decide how to present, and who presents
  • Confirm numbers attending to caterer
  • Arrange for name/position placards for head table
  • Arrange for flowers for head table and corsage for Head Table ladies
  • Arrange complimentary wine for Head Table
  • Confirm who will do the Toasts: Queen, US President, Sailors)
  • Confirm who will do the Grace
  • Confirm who will attend Welcome Table, take tickets
  • Organize 50/50 draw – have tickets available.
  • Arrange for 50/50 ticket sellers
  • Arrange for name tags if required – have available at Welcome table

2 weeks before /
  • Arrange for Albums to be available
/ Historian
Evening of CoW /
  • Have Flags, warrant, Malowney and Bateman trophies available at facility
  • Bring banners
  • Have tickets for PMD rep and spouse, and other guests available at Welcome table
  • Pick up Head table flowers and corsages

  • Have Welcome table set up, collect tickets, issue name tags if required
