SCOPE OF WORK: Performs a variety of clerical duties and provides general information to students pertaining to enrollment, financial aid, billing and payment, and registration activities at theCollege Services OneStoplocated atGreat Bay Community College in both the Rochester and Portsmouth locations. This position reports to the One Stop Supervisorat Great Bay Community College and is located at the Great Bay Community College, Portsmouth campus and Rochester Academic Center, as assigned.
ACCOUNTABILITIES:
- Serves as the primary contact for students receiving assistance with the process of admissions, financial aid, registration, and student account billing and payment whether in person or by telephone or electronic means.
- Provides general secretarial support, including typing, filing, scheduling appointments, data entry, payment processing, and tracking student documents as related to financial aid, admissions, and registration, andutilizing SCT-Banner school-based software and other MS software products.Assists with student account resolution for financial aid, admissions, registration, and billing,and refer students to appropriate specialist counselors as needed.
- Provides evening and weekend receptionist coverage as needed, assisting students and the general public with informational inquiries while also assisting with the One Stop duties.
- Inform students regarding financial aid status and process, procedures, and requirements. Answers inquiries, solves problems related to accounts and works toward a resolution for all parties involved.
- Processes registration forms, add/drop forms, transcript requests, and change of name/address requests.
- Instructs students on the proper usage of web tools including, but not limited to, SIS, email, online payment plan, online web admissions application, FAFSA, and Blackboard.
- Provides general customer service support to prospective and current students, including assistance with the admissions, registration, financial aid, and billing/payment processes.Assists with routine daily procedures including, but not limited to, answering incoming calls and emails in a timely fashion.
- Attends training sessions as related to the position. Serves on campus or system committees and teams.
- Complies with all system, college, state, and federal rules and regulations.
- Performs other duties as assigned.
MINIMUM QUALIFICATIONS:
Education: High School diploma, G.E.D. or its equivalent. Each additional year of approved formal education may be substituted for one year of required work experience.
Experience: Three (3) years’ experience in a responsible clerical position, including experience in customer service, education, or higher education administration or services.
Licensure/Certifications: Possession of a valid driver’s license or access to transportation.
SPECIAL REQUIREMENTS: For appointment consideration, Program Assistant I applicants must successfully participate in a structured interview measuring possession of knowledge, skill and abilities identified as necessary for satisfactory job performance by this class specification. The structured interview is developed and administered, according to CCSNH guidelines, by representatives of the college in which the vacancy exists.

Ability to make decisions based upon fact-finding interviews within the parameters of the rules and policies of the college. Ability to meet with clients and explain programs sponsored by the department or college in which the position is located. Ability to present ideas clearly and effectively. Ability to establish and maintain effective working relationships with other employees and the general public. Must be willing to maintain appearance appropriate to assigned duties and responsibilities as determined by the college’s appointing authority.
