Job Title:Equipment Grants Coordinator

Responsible to:Care Information and Advocacy Manager

Overall departmental responsibility - Head of Information and NM Outreach

Main Purpose:Co-ordination,administration and continued improvement of the Joseph Patrick Trust equipment grants scheme.

Hours:28 hours per week

Muscular Dystrophy UK is the charity for the 70,000 people living with muscle-wasting conditions in the UK. We bring together people affected by more than 60 rare and very rare progressive muscle-weakening and wasting conditions Since 1959, we’ve been supporting families living with muscle-wasting conditions. We provide vital information, advice, resources and support for people with these conditions, their families and the professionals who work with them.Joseph Patrick Trust (JPT) is the welfare trust of Muscular Dystrophy UK and provides part and full funding towards equipment for children and adults. The equipment grants coordinator will coordinate, process and continually improve the equipment grants process.

Equipment Grants Key Tasks

  1. Co-ordinate the JPT (Joseph Patrick Trust) grant award process for equipment grants
  1. Data entry and processing of JPT applications (currently approximately 150 – 190 applications per year) - including receiving, checking and processing applications, answering queries by phone and email, signposting applicantsand the disbursement of funds.
  1. Communicate with JPT applicants, equipment suppliers and healthcare professionals to ensure effective administration of the JPT grant award process
  1. Provide support to service users to ensure they receive the information they require. This includes handling queries regarding the grant process and information about other sources of funding.
  1. Communicate with and provide support for the JPT Grants Panel including organization of Panel meetings on a quarterly basis.
  1. Responsible for allocating funds to grant recipients and recording Panel decisions on the database
  1. Responsible for preparing detailed reports of grant awards for quarterly Senior Executive Team meetings and other reports on an ad-hoc basis as required.
  1. Run monthly finance reports and work with the finance team to ensure reconciliation of funds
  1. Create new JPT landing page, keep this updated. Create a JPT leaflet.
  1. Ensure a first class service is provided at all times.

Extent of authority:

  • Recommending procedures to improve the administrations of grants
  • Prioritising and planning own workload to meet objectives
  • Liaising with JPT Grants Panel members, partners within other organizations, and professionals
  • Representing the charity as and when required.

Initiative/analysis:

  • Initiative in anticipating and solving own problems and informing of the impact on other areas as appropriate
