Event Sponsorship Form
Campus student organizations requesting funds from the Office of Student Engagement and Leadership must:
- Be recognized by the University.
- Be in good standing with the Office of Student Engagement and Leadership (current semester registration complete)
- Demonstrate how the allocation of these funds will benefit the University.
Organizations may receive funding for the purposes detailed below:
- Sponsorship: Simple sponsorship of an event the organization hosts. It can be an event for fundraising, awareness, recruitment, or for sponsorship of a show.
- Supplies: Funding for event supplies, or loan of supplies owned by the Office of Student Engagement & Leadership.
- Equipment Rental: Rental of large equipment from the Office of Student Engagement & Leadership, unless we do not have the equipment needed, then sponsorship fund is put towards rental of equipment from an outside vendor.
- Entertainment: Funding for entertainment at the organizations event. This can be music supplied from the Office of Student Engagement & Leadership, or funding towards an outside entertainer.
- Refreshments: For the purchase of refreshments for the event. Either the Office of Student Engagement & Leadership will buy the refreshments, or the organization will supply receipts for the use of funds for refreshments.
- Advertising: Funding towards advertisement specifically. Either ordered by the Office of Student Engagement & Leadership, or the organization will supply receipts for the purchase of advertising for the organization’s event.
Rules and/or Procedures:
- Event must be open to all WT Students.
- Event and organization must comply with the Code of Student Life and all regulations of the University.
- Organization must turn in completed forms at least 2 weeks prior to the event. Requests received with less than a 2-week notice would likely not be approved unless there are extenuating circumstances.
- Organization must turn in all required event documentation within 1 week after the event including receipts, attendance rosters, etc.
- Must properly display the Office of Student Engagement & Leadership Brand during the event or receive recognition of sponsorship.
- Organization must show fundraising efforts outside of Office of Student Engagement & Leadership Event Sponsorship.
