Role Overview

Reporting to: Community Fundraising Manager

Salary: £27,000 (Full time, permanent)

Hours of work: Monday to Friday 9:00am to 5:00pm (from time-to-time you will be expected to work outside these hours for example, at events taking place during the evenings and at weekends)

Additional Information:

·  Contributory pension scheme (for front-line employees Tommy’s contributes up to a maximum of 4% as long as it is matched by the employee)

·  25 days’ holiday per year (this increases with length of service)

·  Flexi-time (4 hours per month, which is made up during the week)

Job purpose

This role involves management of at least two mass participation sporting events, and delivering on all objectives associated with these events. For example, the Royal Parks Foundation Half Marathon, Prudential RideLondon-Surrey 100, Nightrider, British 10K.

You may also be asked to work on any number of other sporting events and/or account managing a fundraising partner at any point in the future.

·  As a minimum: achieving overall income targets for each project. Optimally: exceeding income targets

Job Description

·  Leading on the recruitment of participants

·  Increasing volume and value of ‘own place’ participants

·  Creating income and expenditure projections for each event and keep detailed and accurate records

·  Developing detailed marketing and communications plans

·  Developing detailed time schedules to deliver each event on the day

·  Updating and developing web content and ensuring that all forms of web and social media channels are utilised for each event

·  Acting as the main point of liaison for third party event organisers; providing them with materials, assistance and support.

The scope of the job is likely to involve:

·  Leading the marketing activities to ensure that our events are well promoted to achieve recruitment targets e.g. writing copy for social media, calling/mailing companies, mailings to sports clubs

·  Contacting companies to encourage them to enter a teams of runners

·  Regular communications with our event participants; via email, telephone and post. Speaking to runners on a regular basis to ensure they have everything they need and to answer their questions.

·  Supporting runners with raffle prizes and fundraising materials

·  Helping generate local publicity for the runners

·  Inputting data on to the Raisers Edge database – accuracy and attention to detail is crucial

·  Responding to enquiries from event participants promptly

·  Developing and maintaining excellent relationships with our partnering organisations

·  Providing excellent customer service at all times

·  Emailing and calling fundraisers to help them optimise their fundraising

·  Daily checking of social media pages and responding to posts concerning our events

·  Regular income reporting using Virgin Money Giving and JustGiving to ensure income targets are on track

·  Updating and adding information to our database (Raisers Edge)

·  Attending our sporting events on the day

·  Assisting with any other ad hoc administration jobs as required

·  Calling event participants to wish them good luck for their events

·  Undertaking any other ad hoc tasks across all fundraising projects as and when required

·  Management of the race day activities (booking cheerleaders/activities for events that we have a tent/venue for/managing staff on event day)

·  Researching other event/partnership opportunities

Person Specification

Job Qualifications

·  Educated to degree level or equivalent

·  Relevant experience in managing challenge events

·  Experience of budget responsibility (income and expenditure)

·  Proven success against specific measurable objectives.
