EXECUTIVE BOARD MEETING
December 9, 2011

The meeting was called to order by President Wooten at 11:02am. A motion to accept the minutes from the October 7, 2011 Executive Board Meeting was made by Cindy and seconded by Carlotta.
TREASURER’S REPORT
Hyacinth reported that the yearly payment for the website, $239.99, was made in September 2011. The current balance is $4,255.86. A motion to accept the treasury report was made by Cindy and seconded by Andrea.
2012 CONFERENCE LOCATIONS

$119 a night; will waive the $10 resort fee.
$69 per person for catered food and break snacks.
Will give us a 3 day/2 night gift certificate to raffle.
No charge for meeting rooms; will have the theater type room reserved along with the registration area (In writing that if these are not available, they will waive 10% of total bill.)

$89 for deluxe room and $99 a night for executive suite
$56 per person for catered lunch and break snacks

After discussion, a motion was made by Michelle to contract with Sea Palms for the 2012 conference. The motion was seconded by HoChi.
MEMBERSHIP
Per Indya, an email will be sent out on Monday 12/12/11 to all court reps informing them of the membership drive. The form is on the website, and the fee is the same.
LEGISLATIVE
Tameka will contact a former Gwinnett County Judge regarding any updates.
VENDORS
Shawn reported that he will send letters to former vendor participants to ascertain whether they would be willing to return for the 2012 conference. Four vendors from last year have already expressed their interest. A motion was made by Cindy to limit the number of people to 4 that each vendor could bring. Any over that total would have to pay the registration fee. The motion was seconded by HoChi. If your county has any vendors they would like to have represented, please email this information to .
SCHOLARSHIP
Cindy has volunteered to chair this committee. If there is money available, the Board would like to give a scholarship this year. Shawn will write letters to solicit funds.
NOMINATIONS/ELECTIONS
Andrea will gather information from the Membership list generated by Indya.
BY-LAWS
The Board is considering a change to the term of each Executive Board Member, with the exception of Treasurer, from one year to two years starting in 2013. This proposed change will be brought to the members for a vote at the 2012 conference. A motion to submit this change to the members for a vote was made by Michelle and seconded by Carlotta.
FUNDRAISING
BrunswickCounty, GlynnCounty and ChathamCounty will be contacted for assistance in fundraising since the conference will be on the coast. Sea Palms is giving a 2 night stay to raffle off. Jackets (fleece and rain hoodies) will be priced for sale and possible give away. Other merchandise will be priced for possible door prizes, giveaways or for sale.

The website is current and up-to-date with meeting dates/locations and past minutes. Please email Shawn with current pictures and announcements from your Court.
COMMUNITY SERVICE
Nothing to report
EDUCATION/TRAINING
The Barton Law Clinic is waiting to hear news of their 2012 grant. The GBI is willing to offer training sessions wherever needed. If you have any other information to add, please email Shawn.
CONFERENCE
Lis has requested that topics for the conference be geared towards what we do everyday, such as ICJ, truancy, intake and deprivation. If anyone has any other suggestions, please email Shawn.

Please distribute these minutes to our members or let them know about the website. Any information from members is needed and appreciated, especially when planning for the Conference! This association needs to be driven by all of the members, not a select few.

A motion to adjourn was made by Cindy and seconded by Michelle.
Our next meeting is scheduled for January 13, 2012at El Agave, located at 557 Jonesboro Rd.McDonough, GA. In the event that the meeting is cancelled; a notice will be emailed to all Court reps and the website will be updated.
