Minutes of Sharing Session - Sept. 14, 2006

Welcome, Introductions, Communication

- everyone in attendance shared who they were, what colony they are with and how their year is starting off.

- an email list is being created to include all colony leaders so everyone will get colony information. It is requested that if an email requests a reply that you do not "reply to all" unless it is absolutely necessary.

-Please let Grace know if you have trouble receiving the emails as the distribution list will be quite large and may need to be broken down into smaller groups.

Sharing Sessions

- What are they? - typically monthly meetings which are open to ALL Colony Leaders in Rideau Area at which Area Beaverees are planned, ideas are shared, challenges discussed, program ideas are shared, Area & Council information is distributed.

- Content- Anyone with ideas of what they would like to get out of Sharing Sessions is asked to send them to Grace at .

- Logistics -When & Where - The Area Scouter Summits as we knew them last year will happen 4 times over the year, October & December being the first two. Sharing Sessions will be held independently during the other months. It is recommended that we hold our meetigs on a variety of evenings and at a variety of locations throughout the Area. Please share your thoughts as to when and where would suit your colony leaders best.

HELP NEEDED!!!! - We are presently looking for a Chair, Secretary andassistant Treasurer for the Sharing Sessions. Grace chaired the September meeting but should be supporting the Chair. Anyone interested in helping out in any capacity, or knows of someone who might be,please let Grace know. It is important that we fill these positions.

Beaverees- What they are?- Beaverees are activity days for all colonies in the Area. At present we hold 3 Beaverees a year, fall, winter, and spring.

Fall Beaveree - Grace is having discussions with the CanadianAviationMuseum. The following was decided and if all goes as hoped with further discussions with the Museum information/registration packages will be sent to the colonies by the middle of next week.

Date - Saturday, October 28, 2006

Charge -Museum ischarging $6.50 per youth and $1.50 per adult (ex. parents) with no charge for Beaveee staff. Who they are classing as Beaveree staff has to be clarified? (All Leaders or just the required number to man stations?)

It was agreed to charge only the $6.50 per youth and $1.50 per adult (whoever that may include) and to have the cost of the crests paid for out of the Sharing Session funds.

Times - 10:00 a.m. to 3:00 p.m.

Activities - to be co-ordinated with the Museum contact - more info to follow

Lunch -Brown bag - Due to the number of youth & adults with nut allergies, a request will be made in the information package to please not bring lunches containing nut products.

- There was some discussion surrounding handling food allergies, especially nut allergies, and it was agreed that we can only do our best toattemptto provide asafe environment but it is the parents who are responsible for what their child consumes. It was also agreed that this is very common in schools and should not be anything new to most parents.

An additional planning meeting will be called if it is found to be necessary.

IMPORTANT!!!!

-Museum educators will be leading some of the stations however Leaders will be required to lead some as well. When the activities are confirmed we will know how many Leaders will be needed. Please consider your colony to take responsibility of a station.

-Craft preparation may be needed before the day – please be willing to assist if required.

-Grace will ensure the Beaveree is set and ready to go but is not able to attend the event. Someone or more than one is needed to oversee the Beaveree. Please let me know if you are able to help in this respect.

Parking Lot/Open Forum

- Colony size - Discussion was held on the advantages and disadvantages of large colonies, example 30 youth, and smaller colonies. Larger colonies can work if a rotation or activities is used for most activities. Smaller colonies can be challenged with games as many games are better played with larger numbers. Larger colonies can have more discipline concerns and can be harder to hold the youth's attention. Larger colonies can have a larger leader base to draw ideas from.
