PTSA Executive Board Meeting
September 14, 2015
Joanna Warren, President, called the meeting to order.
Shelby Smith, Treasurer, presented the treasurer’s report.
-Allison Russell motioned to approve the budget and Melissa Long gave the second.
-The dance profited $1,451.05.
-Shelby created a form for concessions money counting because there will be so many games where money needs to be counted. We must have 1 executive board member to count and one other person.
-Allison Russell asked if concession items left over from dance could be used for sports concessions.
-Joanna checked with Jill Britt to make sure Executive Board can be any committee member. The 2nd counter can be anyone. Ms. Ward will check to make sure an ABSS employee can count money. Committee chairs can take money with them after games to get it to Shelby to deposit.
-Kim is going to leave sports magnets to sell at concessions during games.
-If you are in charge of concessions, you have to set up before the game. Ms. Ward said we can check with Mr. Ritter about icing down drinks for home games.
-Shelby asked if it’s okay to leave 2 people on checking account. We can add another executive board member, but decided to leave it as is for now.
Ms. Ward
-She said the year is off to a great start. Their focus is on getting more technology for the school.
-The fundraiser is being extended to help with sales.
-They’ve had several donations to the technology fund.
-The district has technology badges – it’s like a grant and if you get a technology badge you get a set of laptops for your classroom. They were awarded 4 sets.
-There’s an after school movie Friday.
-Spirit Week is next week and the Pep Rally is on September 24th
-School pictures are 9/21
Hospitality: Nothing new – Jennifer had the Back to School breakfast and snacks for orientation. She’s working on treats for birthdays. Her budget was increased to $2200.00.
Dance: The dance went well. It profited $1,451.05. Christy Pickard, a parent of a 6th and an 8th grader, has agreed to take it over next year. We need ideas for the Christmas dance to “beef it up” to encourage students to come. Ideas were:
-Tripp Turner has a photo booth he can bring and we get ½ the profit.
-Could we do a homework pass as a giveway? A pass to sit with a friend at lunch? Drawing for a student and a group of friends to get free lunch and sit together?
-Could we have a dance off?
Community Relations: Mrs. Scarlett has helped Hamilton with ideas. The first spirit night is at Purple Penguin on September 25 from 3:30-7:30. SMS gets 10% of all sales during these times.
Hamilton is working with Hursey’s to do one on October 29 when Southern and Graham have a football game.
For November, he’s looking at Texas Roadhouse, Moe’s, or Good Times Café. Mrs. Scarlett mentioned Lazer X, Popeye’s, Smitty’s. Joanna mentioned Mykono’s. Allison R. asked about Anna Maria’s, and Shelby mentioned Angelo’s.
Spirit Wear: This is the last week for shirt orders. Sock order forms went home Friday. It will take the company about 5 weeks to stitch the socks. Kim hopes to get them out in mid October. She wants to wait to do sweatshirts in January so we don’t have so many things selling so close together. We might be able to sell shirts/socks at games.
Box Tops: no report
Book Fair: Ann will get with Mrs. Scarlett soon.
Health Resources: Melissa hasn’t seen what came in at the dance. She made sure they had what they needed for resources so far.
Shelby asked if PTSA could purchase a first aid kid to have at PTSA events. We voted yes.
Website: It is up to date. Send Jamie reports as your committee needs something updated.
Facebook: It is updated. Send Melissa info that you need added.
Voice: Minutes will be forwarded when received from Jenny Faulkner
Fundraising: discussion reguarding how to store money after concessions. Ms. Ward will discuss with office staff where to store money.
-Mr. Ritter is working with athletic team parent volunteers.
-Courtesy drinks are given to refs, coaches, and deputies
-Coach Kane to give Mr. Ritter a key to high school concessions stand
-1st home football game is next week and will likely be a big crowd.
Next meeting is October 5 at 5:30 pm
Open House is October 8 from 5-7. Pelican Snowballs at Open House??
