Job Purpose:

  • Responsible for the general management of the Sharples Building facility, including security, maintenance, health & safety and other services.
  • Ensuring that the needs of the organisation, employees, and/or visitors are met.
  • Managing the general administration needs of the organisation
  • Managing the Health & Safety Requirements of the facility
  • Managing the reception desk

Responsible to: Chief Executive

Working with: Senior Managers

Responsible for: office administrator, and activities reception volunteers

Job Duties:

  • Manage the overall services provided within the facility
  • Create a suitable environment for the purpose and needs of the facility
  • Ensure rooms are prepared and suitable for use each day
  • Manage the car parking facilities
  • Manage the hiring of the rooms at the facility
  • Manage the maintenance of the building including cleaning
  • Track building upkeep as well as anticipated long- and short-term improvements and maintenance
  • Keep the surrounding grounds properly cared for
  • Ensure the reception desk is always manned during opening hours
  • Recruit and train volunteers to work on the reception desk
  • Manage the social activities run within and from the building, including recruiting appropriate volunteer support
  • Handle certain administrative tasks, such as preparing short reports for Chief Executive
  • Manage the office administrator post
  • Manage the Health & Safety requirements of the facility including carrying out the necessary H &S checks and recording as appropriate
  • Ensure the security of the facility, including acting as a key holder
  • Respond to emergency situations or other urgent issues involving the facility.
  • Manage the catering for the Annual General Meeting and other appropriate events
  • Manage the assets of the charity e.g. vehicles (including regulatory requirements), office and IT equipment.
  • Manage the ongoing maintenance of all utilities and communications infrastructure
  • Supervise and co-ordinate the work of any contractors working in the facility
  • Managing archiving, waste disposal and recycling at the facility
  • PAT testing all relevant office equipment (training will be provided)

Flexibility:

Standard working hoursare Monday-Friday 9.00- 4.30pm(with ½ unpaid lunch break)(35hrs),however there may be occasions when the post will require a more flexible approach. On these occasions the post holder will need to be prepared to work evening and/or weekends.

Salary £27,668 plus pension contribution
