Reopening Completed Elections

After employee elections have been completed, there may be instances when you need to reopen an open enrollment session.

To reopen an enrollment session, you must be assigned the Role Type of Benefits Administrator.

You can reopen completed elections and make changes to the following:

  • Deduction/benefit group(s) (for example, to add a deduction/benefit plan or deduction/benefit group to the session for employee election)
  • Employee(s) (for example, to change and/or select a benefit option)

Important!
If you reopen an election that was completed as a passive enrollment, the employee must complete the full election session. He or she will not be able to choose to complete the session with the quick enrollment option a second time.

To reopen completed elections:

1.Select Benefits AdminOpen Enrollment SetupEmployee Elections. The Employee Elections page appears.

2.From the Session drop-down list, select the applicable session.

3.From the Action drop-down list, select Reopen Completed Elections.

4.Select OK. The Reopen Elections page appears.

Note:
This list contains only those employees with an election status of Complete for the selected session.

The Reopen Elections by drop-down list options include Employee and Deduction/Benefit Group.

5.From the Reopen Elections By drop-down list, select an option.

  • When Deduction/Benefit Group is selected, a list of eligible deduction/benefit groups appears. Check the boxes for the deduction/benefit groups that need to be reopened.

Note:
If you need to modify the open enrollment session, reopen all deduction/benefit groups.

  • When Employee is selected, a list of eligible employees for the selected sessions appears. Check the boxes for the employees that need to be reopened.

The Find By feature enables you to enter a search criterion, such as Last Name, Employee Number, or Deduction/Benefit Group when the employee is selected. When Deduction/Benefit Group is selected, you can search by Deduction/Benefit Group and Code.

6.Select Submit.

7.A Confirmation dialog box appears. To reopen the deduction/benefit group(s) or employees, select OK. Depending on the selected option, an information message appears:

  • "The Complete elections within the deduction/benefit group(s) have been updated to a status of Reopened."
  • "The Completed elections for the selected employee(s) have been updated to a status of Reopened."

Note:
  • If the time period is prior to the session close date, the employee and the Benefits Administrator can modify the enrollment elections.
  • If the session close date has past, only the Benefits Administrator can make changes on behalf of the employee by clicking the employee name link to modify the employee’s elections.
