Open Exhibition
Cornerstone has programmed an open exhibition entitled ‘Pattern.’, between the dates of Tuesday 24May and Sunday 26 June 2016. All visual artists (amateur and professional) can apply by the deadline ofSunday 10 April 2016.
You should be available to deliver your work in the week commencing Monday 16 May (exact dates/times tbc) and collect it in the week commencing Monday 27 June (exact dates/times tbc)
Each artist may submit up to 4 pieces of work for the exhibition.
This year’s open exhibition is part of Artweeks 2016 and will be included in the Artweeks programme. Those artists already exhibiting for Artweeks in another location are welcome to submit work to the open exhibition.
Cornerstone will always take a commission on sales unless otherwise stated. Artists and exhibitors resident in South Oxfordshire district will pay 30% on sales of their work, and exhibitors and artists who live outside South Oxfordshire district will pay 35% commission. Your work does not have to be for sale.

ABOUT YOUR WORK
Please respond to the theme Pattern. You can submit artwork of any size or genre, and you may respond as creatively as you want to the theme. We are also able to display 3-D objects. However, our hanging and display systems have some limitations so please read the guidelines before deciding what works to submit.
Each applicant can submit between 1 and 4 pieces. These pieces must be available for the entirety of the exhibition. Images of each piece should accompany this application, if pieces are ready.

Guidance Notes
Gallery Information: An exhibition space on the lower ground floor of the venue. The space is painted light grey offering approximately 170m² of wall space and operates using a hanging system (nylon and stainless steel hangers), projector and has power and data points in the floor. The space is programmed to feature a regularly changing series of exhibitions related to all aspects of visual arts. There will be approximately 10 exhibitions in one year.
The gallery displays national, regional and local artists, organisations’ and groups’ work. The programme aims for a balance of various art forms, including:
- Fine art: sculpture, painting and printmaking; Film and photography; Textiles: knitting, weaving, tapestry, embroidery, fashion, costume, etc; Crafts: carving, enamelling, ceramics, glass, etc.; Illustration and design
We aim to programme projects and exhibitions which target the following audiences:
- the local community; the educational sector; tourists and general interest groups; families and children; special interest and minority groups

Installation
Please refer to our Hanging Guide and FAQs (separate document) for information about how to prepare your work for installation. If work has not been properly prepared we may not be able to install it.
Please note: Cornerstone uses a hanging system which means hanging very small and/or lightweight canvas' or frames can be problematic and sometimes impossible. If you think some or all of your artwork falls with this category, please mention this in your application.
Equipment: The gallery can receive cases or plinths for the display of 3D/smaller pieces. Clip frames are not suitable for the gallery.
Selection Process
Pieces for the open exhibition will be selected by the Arts Development Officer and Visual Arts Assistant. Decisions will be based on the following criteria:
-suitability of medium of work for the gallery
-response to the open exhibition theme
-fit within the overall exhibition content
-ability for the artist to comply with delivery, collection and exhibition dates
Please note that we usually receive applications for more work than we can accommodate.
If there is pressure on space for work in the gallery, we may only accept fewer than the maximum of four images from each artist, and may not be able to show every artist’s work even if the criteria are met.
It is important that the application form is fully completed and a minimum of 4 photographs should be supplied which reflect the content and range of your exhibition. Please note that a failure to supply either of these elements will make your application ineligible as it will not be possible for the panel to form a judgement. The photographs should be representative of the work which you intend to include in the exhibition.
If an artist is dissatisfied with any decision made, they should write in the first instance to South Oxfordshire District Council’s Arts Development Officer, who will give a written response and provide details of how to take the matter further if this is considered necessary.

This is a summary of information and our terms for artists displaying work at Cornerstone. If successful, the artist will be required to sign a contract with South Oxfordshire District Council before the artwork is accepted for the exhibition. Please make sure you read this information carefully before submitting your application. By submitting your application you indicate that you understand and agree to this information.
- Information required in advance
- Gallery Exhibition Acceptance Form:
- A Receipt Form for artwork will be required in advance of the exhibition, including a list of works to be exhibited with sale prices, for sale and insurance purposes.
- Preparation of artwork
- Hung artwork must be delivered in a state to be hung without damaging the item, with 2 D-rings securely screwed to the frame. Artwork not supplied with 2 D-rings may not be exhibited or Cornerstone may ask permission to attach D-rings to the frames and charge the artist for the cost. . Clip frames are not suitable for our gallery. Textile/paper etc. hangings should have a suitable fixing allowing them to be hung, where possible. Works should be durable enough to last the duration of the exhibition. Please see Hanging Guide for more detail.
- All 2D hung works must have 2 labels; the first on the back with the artist’s name, title of work, medium, current price and number on the final list above. The second label should be attached to a string onto the hanging cord, so that it can be clearly seen if hung over the face of the work. This helps staff enormously when checking and hanging the exhibition. If this is not done you will be required to attach them at the gallery on delivery.
- Delivery and collection
- Works should be delivered to Cornerstone on the allocated delivery date. Please note that if works are not received on this prearranged date, Cornerstone reserves the right not to hang them. The gallery cannot guarantee to hang any pictures that arrive late. Any problems with the submission date should be discussed with the Arts Development Officer.
- Cornerstone will issue the exhibitor/artist with receipt forms for each artist to complete. On deposit of work, Cornerstone staff will check off the condition of works. A copy of the receipt is offered to the artist, who then brings it to check and identify collections of work at the end of the exhibition. Work will not be released to individuals who cannot produce these receipts.
- Cornerstone staff will arrange and hang works in liaison with the artist. The final curatorial decision remains with Cornerstone, including the final selection of artwork to be included in the exhibition. Artists will adhere to Cornerstone’s risk assessments and health and safety policies
- All works shall continue to be displayed until the official end of the exhibition. Collection of artwork should take place on the allocated collection date. Exceptions can only be made in exceptional circumstances (e.g. purchase by an overseas visitor)
- A fee of 50p per artwork per day is chargeable for uncollected works, unless the artist has made alternative arrangements, in writing, with the Arts Development Officer. In the event that artwork remains uncollected for more than two months with no contact with the artist to arrange a time for collection, Cornerstone will dispose of the artwork.
- Artists must bring their receipt when collecting work, and must contact the visual arts team at Cornerstone with the name of their proxy if arranging for someone else to collect their work. The proxy will need to bring the artist’s copy of the receipt forms.
- Sales and financial arrangements
- No charge is made for the private persons or groups exhibiting work
- 30% commission is taken by Cornerstone from artists and exhibitors resident in South Oxfordshire district (e.g. pay Council Tax to South Oxfordshire District Council) on any works sold or commissioned during the exhibition.
- 35% commission is taken by Cornerstone from exhibitors and artists who live outside South Oxfordshire on any works sold or commissioned during the exhibition.
- Cornerstone members receive a 20% discount on all original prices of the artwork.On these sales, the Artist will receive 90% of the original sale price, minus the commission
- No additions or alterations (including prices) to the final list shall be accepted after the exhibition set up has been completed.
- Only works which are present at Cornerstone or additional prints which have been agreed with the Arts Development Officer can be sold through the exhibition.
- When exhibitions are by arts societies and groups with members who live both inside and outside South Oxfordshire, then an information sheet must be supplied detailing the circumstances for each individual exhibitor.
- Sales are dealt with by Cornerstone staff. Cheques from purchasers are made payable to South Oxfordshire District Council at the Box Office.
- The artist(s) or group are paid at the end of the exhibition. They will receive a sales report and will need to submit an invoice to South Oxfordshire District Council quoting the given purchase order number, which will be paid by BACS or cheque.
- Publicity
- Cornerstone produces a brochure each season (three times per year), in which each exhibition in the gallery is profiled.
- Cornerstone produces an explanation panel for the wall in the gallery.
- Cornerstone brochures can be provided by Cornerstone if required. Publicity material for the exhibition should be produced in line with Cornerstone’s branding guidelines (available upon request) and all publicity must be approved by Cornerstone’s Marketing and Development Officer. The artist/group must pay for any publicity additional to the Cornerstone brochure.
- A press release may be written by Cornerstone’s Marketing and Development Officer, based on details provided by the artist/group, and circulated to local press contacts. A contact telephone number should be included if the artist(s) wish to appear in press photographs and do interviews.
- Cornerstone reserves the right to photographically document exhibitions for the purpose of promoting the gallery and its services. Any request by external bodies, agencies, individuals other than the press to photograph an artist’s work or exhibition will be referred to the artist for approval.
- Security and liability
- South Oxfordshire District Council does not accept responsibility for loss or damage to articles lent for temporary exhibitions, unless such loss or damage arises directly as a result of negligence on the part of the Council or its officers. The artist must have in place sufficient insurance cover for the works they are displaying, in respect of loss, damage and theft.
- Cornerstone does not employ security. The gallery is open to all visitors. We do not hire invigilators, but have a standard duty of care.
- Termination
- Should building work of any kind be required for the building which might endanger works of art or the visiting public, Cornerstone reserves the right to cancel any exhibition booked for that period.
- Cornerstone reserves the right to hold events in the gallery space at any time.
- Cornerstone reserves the right to cancel an exhibition if required conditions are not fully met.
- Cornerstone reserves the right to refuse to exhibit any work deemed unsuitable for exhibiting in the gallery.
