POSITION Admin Coordinator

Hours: 25 hours/wk, negotiable

Permanent Part Time including occasional after hours work

Award: Social and Community, Home Care and Disability Services Industry Award 2010 (SCHADS, incorporating the Qld Regulation and DIV 2B QCSCA)

Classification: Level 3

Please note that all positions are conditional on recurrent funding from the Qld Government and therefore contracts are based on current funding agreement terms. In 2017 The Eating Issues Centre (TEIC) and The Eating Disorders Association (EDA) re-located to new premises in Toowong. This co-location marks the start of a close partnership between the organisations which will provide collaborative and accessible service provision to our clients.

The role of Admin Coordinator will be a joint one across both organisations.

REPORTING RELATIONSHIPS

·  This position reports to Managers of The Eating Issues Centre and The Eating Disorders Association who co-supervise the position.

·  This position has no direct reports but is responsible for volunteers.

ORGANISATIONAL OVERVIEWS

The Eating Disorders Association:

The Eating Disorders Association provides individual and family counselling, support groups, education, and skills based programs, resources and referral services to people caring for a loved one with an eating disorder.

The EDA is a community based not-for-profit organization which encompasses compassion and dignity through all levels of service.

The Eating Issues Centre:

The Eating Issues Centre is a community based organisation providing counselling, therapeutic support groups and peer mentoring, as well as information and referral services, to people with eating issues such as, anorexia, bulimia and compulsive eating. All service provision is underpinned by an empowerment based, feminist approach to working with and understanding eating issues.

We acknowledge the multifaceted and interactive factors that contribute to the development of eating issues and seek to promote recovery, empowerment, connections and change on both individual and social levels. TEIC fosters a supportive, creative and innovative workplace with positive internal and external relationships.

THE POSITION

The Admin Coordinator oversees all areas of administration including financial support, information management, social media, management of office facilities andcoordination of the

volunteer program. You will be the go to person for both staff and clients on operational matters at our centre.

This position also acts as the receptionist and is required to have a broad understanding of the services delivered by TEIC and the EDA and to appropriately respond to queries and ensure back of house functions effectively support service provision. This role operates within a collaborative team

environment that is responsive to the needs of service users and is committed to continuous improvement and best practice principles. This position provides a key support function and is required to work within the values framework of both organisations.

KEY RESPONSIBILITIES:

·  Proactively communicate as a member of a collaborative team contributing to shared work functions, team processes and service development.

·  Prepare financial documents including invoicing, receipting, incoming and outgoing payments and timesheets for provision to the bookkeeper for processing.

·  Maintain information management systems in both hard and soft formats.

·  Manage website, email campaigns, social media and mail distribution systems ensuring information is up to date.

·  Manage the office and premises, including room hire and diary management, library, procurement, maintenance and servicing of equipment and order and purchase of office supplies.

·  Oversee administration of CSNet Client management system. Training to be provided.

·  Respond to enquiries, distribute information packages and resources and make appointments for support workers.

·  Support the Managers and team with special projects as required.

·  Oversee induction procedure with new staff and volunteers.

·  Coordinate the volunteer program, ensuring volunteers are provided with support, training and allocated tasks that match their skill sets and benefit the organisations.

REQUIREMENTS

·  Experience in an Administrative role and or relevant qualifications

·  Ability to work in Australia

·  Ability to communicate effectively with a diverse range of people and to develop and maintain professional relationships.

·  Good interpersonal and written communication skills

·  Intermediate/ Advanced skills in Office software and social media management

·  Well-developed time management and organisational skills.

·  Satisfactory criminal history check and Working with Children Check.

·  Ability to maintain confidentiality and an understanding of the Privacy Act

Highly Desirable

·  Experience working in a community based organisation

·  Ability to work independently and take initiative

·  Knowledge of Eating disorders

·  Event Coordination

·  Valid and current Qld Driver’s License
