Organisation Profile

Span Arts is a vibrant community arts organisation, constituted as a registered charity. It was founded in 1998 and became a company limited by guarantee in 2001. It is an inclusive community and membership based organisation which encourages volunteers to actively participate in all aspects of its work.

Span Arts’ aim is Improving people’s lives through the Arts. And in 2014, launched its mission statement “Arts for Everyone/Celfyddydauibawb”.

Principal Activities

Span Arts’ primary charitable activity is the provision of a wide ranging and professional programme of arts activities based in and around Pembrokeshire, including theatre, family events, dance, music, singing, workshops and outreach projects.

It aims to address issues of rural, social and economic isolation through engagement and participation in community based arts activities.

Span Arts values diversity and promotes equality; it is committed to ensuring that its events and activities are relevant and accessible to all members of the community. It works in partnership with other voluntary, statutory and private agencies where this can benefit its target participants.

Span Arts has delivered a large number of outreach projects that share the core value of using the arts to improve people’s health and wellbeing.

Management

Span Arts is managed by a part time paid Manager, strategic direction is shared with a Trustee Board of 7 volunteers drawn from the local community.

Current employees are: Finance Officer, Audience Development Officer, Marketing & Box Office Assistant, Communications & Events Assistant, Community Engagement Officer, Cheerful Project Manager & Cheerful Project Outreach and Events Officer.

Span Arts’ Strategic Aims:

  • To provide a wide and varied programme of high quality live arts to people within Pembrokeshire and the surrounding area of West Wales
  • To develop meaningful engagement with local communities, building community cohesion and tackling social isolation through the arts

Context of Role

This post forms part of a small team employed by Span Arts to deliver and promote the core activities of the charity. It supports the role of the Span Arts Manager. The post holder will work in close collaboration with the Audience Development Officer and the Events & Communications Coordinator.

Purpose of Post

To make a positive and important contribution to supporting Span Arts to achieve its ticket sale targets, increase and diversify audiences and deliver day-to-day marketing duties to promote its social and arts activities.

Main Duties and Responsibilities

Marketing

  • Updating and working to Marketing Campaign Planner to ensure tasks are completed on target.
  • Updating events on Ticketsolve.
  • Updating and maintaining Span Arts Wordpress website.
  • Taking a lead role in the development of our Digital Marketing, including assisting with social media marketing and engagement through the Span Arts Facebook, Twitter, YouTube and associated accounts, as well as exploring other options for the organisation.
  • In-house design work including adverts, online promotions, and print publicity.
  • Liaising with designers and printers regarding marketing materials.
  • Liaising with Queens Hall to update their website with our information.
  • Organising and co-ordinating the distribution of marketing and promotional information.
  • Preparing poster packs – or coordinating volunteers to complete.
  • Co-ordinating mail shots from the Span Arts audience and membership databases.
  • Co-ordinating email campaigns using Ticketsolve and MailChimp.
  • Updating events listings online – or coordinating volunteers to complete.
  • Liaison with local media to secure advantageous rates for Span Arts.
  • Producing Ticketsolve reports as required.
  • Managing Queens Hall event boards.
  • Managing Span Arts poster boards.
  • Sourcing images + information for promotion of artistes.

Training and Development

  • Identifying and implementing own training and development needs.
  • Attend internal / external training as required.

Other duties and responsibilities

  • Supporting the administration of Span Arts.
  • Taking responsibility for own Health and Safety in the workplace.
  • Attending internal and external meetings appropriate to the role as required.
  • Undertaking other tasks as reasonably requested by the Span Arts Manager.
  • Adhering to Span Arts policies and procedures, including equality and diversity.

PERSON SPECIFICATION

Essential Skills, Experience and Attributes

  1. Demonstrate an understanding of and empathise with the aims and mission of Span Arts and its equal opportunities policies.
  2. Excellent IT skills including working knowledge of all or most of the following: Common social media platforms, Wordpress, Mailchimp, Surveymonkey, Ticketsolve, blogging and more.
  3. Demonstrable technical knowledge and experience with the ability to implement new technical solutions for digital engagement including, for example, an understanding of computer programming.
  4. Demonstrable design skills including working knowledge of Adobe Photoshop and video editing packages.
  5. Demonstrable writing skills with the ability to write pertinent and engaging copy for social media, web, press and print.
  6. Good team working skills with the ability to work collaboratively and co-operatively with colleagues.
  7. Ability to organise and plan own work.
  8. Good interpersonal and communication skills, including the ability to ensure effective communication with a wide range of contacts.
  9. Good attention to detail, including proof reading skills, with the ability to maintain a high level of accuracy.
  10. Ability to work under sustained pressure and to tight deadlines.
  11. A flexible, pro-active approach to work including the ability to prioritise and re-prioritise to achieve successful outcomes.
  12. Fast learner and an ability to work under own initiative.

Desirable Skills, Experience and Attributes

Shortlisting

Shortlisting will take place as soon as possible after the closing date and will be carried out by at least two people.
