HOW TO CHECK WORKFLOW

Display the appropriate requisition in question:

Go to: Services for Object list icon, Workflow, Workflow overview

The following will display:

HOW TO REPLACE “WORKFLOW” ITEMS

Go to:

The following displays: Select “INBOX”, Double click “WORKFLOW”

Find the appropriate document. Notice the requisition has a “STATUS” column; the status of the requisition is “IN PROCESS”. This item will need to be “REPLACED”. The item must be highlighted, then choose the “REPLACE” icon.

Once this has been done, notice the status column icon has changed to, next go to and select to exit the workplace. The document has been placed back into “workflow”. All approvers have the ability to view in their “workplace” overview. Once anyone “clicks” the item to display, this removes the item “OUT” of all other approvers workplace “INBOX” and no one can view, ONLY the individual who has the item “IN PROCESS”, therefore it is important that each “approver” understand the “REPLACE” process.

How workflow & release strategies are determined….

Account Assignment Fund Center determines where workflow notification will be submitted:

Display the account assignment tab and drill into the Fund Center to display, next select the “additional attributes” button located at the bottom. The next screen will display the department code assigned to the fund center:

A list of these approvers are kept in a table called ZMM_APPROVERS, just because the name is in this table does not mean they will be able to approve requisitions. They must also have the “approver” role assigned to their user id. If this role is not in their profile, the name still appears on the requisition, and workflow will be generated to display in their inbox, but the approval process will not be able to be completed. The approver role must be assigned to the user id.

VERY IMPORTANT:

When a change to the requisition occurs and the account assignment is effected, the re-triggering of workflow must be addressed. This is done by changing the quantity amount if less than $9999.99 to be greater than $10000.00 SAVE, then change quantity back to the correct amount and SAVE. If the requisition amount is greater than the $10000.00 amount, then reduce the quantity amount to be $1.00, SAVE and then change back to the correct quantity amount and SAVE. This process completely retriggers the workflow and ALL release strategies associated with the account assignment on the requisition
