JOB DESCRIPTION

JOB TITLE: Administrative Assistant

REPORTS TO: Pastor

SUPERVISES: Volunteers as appropriate

FUNCTION:

The Administrative Assistant of Suamico United Methodist Church shall confidentially administer the communication, scheduling, and recording keeping of the church. The administrative assistant shall serve as receptionist for members and guests during office hours.

QUALIFICATIONS:

Good knowledge of computers including Microsoft Word, Microsoft Publisher, and Microsoft Excel. Demonstrate good oral communication skills, ability to maintain confidentiality. Knowledge of office equipment is a plus. A self-starter with the ability to handle situations as they arise.

DUTIES AND RESPONSIBILITIES:

Fulfill administrative assistant duties during scheduled office hours:

·  Answering phones

·  Taking messages

·  Responding to voice and church emails as appropriate.

Complete monthly newsletter:

·  Type, collate, and mail merge newsletters

·  Mail by email, regular mail,

·  Coordinate volunteers to do the same.

Prepare weekly and special bulletins:

·  Using Publisher

Track and record membership and baptismal information

·  Update of the Church Directory as necessary.

·  Update various mailing lists as needed.

·  Maintain church member information.

Maintain and replenish office supplies

Support

·  Committee Chairs as requested:

  1. Provide copies of committee reports and distribute as necessary
  2. Agendas
  3. Minutes

·  Vacation Bible School

·  Sunday School

Perform copying as necessary.

Ensure efficient office operations by monitoring equipment for repair and maintenance.

Perform Sanctuary maintenance or coordinate volunteers to do same.

·  Prepare children’s packets.

·  Distribute envelopes in pew racks and pencils.

·  Refill attendance pads.

·  Refill liquid wax in alter candles.

·  Refill wick in candle lighters.

Maintain church calendar.

Knowledge of Google platform for creating calendar events and invites, and contact lists

Help coordinate keys to the buildings.

Communicates with assigned SPRC representative.

HOURS: 10-20 Hours per week

SALARY AND BENEFITS:

Base rate: Per hour commensurate with experience.

Paid monthly.

No additional benefits at present.
