Administration Protocols for Online Student Surveys
Thank you for participating in this year’s student survey program! This document describes the administration protocols for student surveys, including background notes and step-by-step instructions for leading students through the survey-taking process. Please read this entire document prior to the first day of survey administration.
About Online Survey Administration
Students will take surveys online on Panorama Education’s secure website. This means that each student will need to have access to an Internet-connected device to take the survey. The survey is accessible via any Internet connection and will run on any modern web browser. Students may use desktops, laptops, netbooks, Chromebooks, tablets and/or mobile devices to access the survey.
The student survey-taking experience
Each student will access the survey using their district student ID number as their access code.
To take surveys online, students will visit the survey taking website, surveys.panoramaed.com/sausd/andenter their student ID number in the access code field:
After submitting the access code (i.e. their student ID number), students will be automatically directed to the Panorama survey selection page.
Students will see one button with their school name on it.To start the survey, students will click “Begin Survey.”
Taking the survey in a language other than English
In our district, the survey is available in multiple languages:
- English
- Spanish
After students enter their ID number, they will be able to select an alternative language using the language selection button in the top left corner of the screen. (This button, shown below, lists the current language [e.g. “English”] with a dropdown arrow.)
Creating an appropriate survey-taking environment
The survey results will be most valuable with appropriate tone setting. We encourage teachers/proctors to explain that the survey is an opportunity for students to help make school better. Students should be encouraged to take the survey seriously and reminded that their responses are confidential. The read-aloud directions that follow include language to help remind students about these important details. In addition to these instructions, teachers/proctors should reinforce the confidentiality of the survey for students. For example, teachers/proctors should make sure to give students space while they are completing the surveys.
Survey Administration Instructions: Online Student Surveys
Proctor Preparation:
1)Please write the URL for the survey website on a chalkboard/whiteboard or pre-load the site onto each computer as a bookmark or homepage. The survey URL is: surveys.panoramaed.com/sausd/.
2)Eachstudent will use their student IDs to access their survey. Please ensure that all students know their individual IDs.
3)Please stand in one place in the classroom where you can see all students (to monitor behavior) but where you cannot see students’ responses. Please do not circulate, as this may make students concerned about the confidentiality of their responses and lead them to respond differently.
4)If a student has a question, feel free to define a word that they do not understand, but please do not reinterpret an entire statement or answer a question in a way that may influence their answer. If the student is still having trouble, simply ask them to answer as best they can.
5)Please do not read the survey aloud to students. Each student should read and respond to the survey independently.
6)Offer appropriate accommodations to students with special needs:
When taking the survey, students with special needs should be offered accommodations consistent with their IEP. Such accommodations may include but are not limited to the following:
- Student is given additional time to complete the survey
- Survey is read aloud by a staff member
- Reponses are filled in by another staff member on behalf of the student
Proctor Script:
Text in italics is for the proctor of the surveys. Text in bold is what you should read to students.
- Today you will be taking a survey about how you approach your classes and how you interact with others. The results of this survey will give us feedback that helps us improve our school, so please respond honestly. There are no wrong answers. Your responses will not impact your grades in any way.
- As you complete your surveys, remember that the purpose of the survey is to help us all improve your learning experiences in school, so please be honest. If you feel that you cannot answer a question on the survey, you may skip that question.
- Now, let’s get started. Open your web browser. Type the URL on the board (point to URL) into your address bar. Press enter and wait for the survey website to load. Raise your hand if your page does not load and you need help finding the website. Help any struggling students get to website.
- You will see a box on the page that asks you to enter an access code. Type your student ID into the box and click “Enter”. Help any struggling students enter their student IDs.
- Once you have entered your student ID, you will see a greenboxon the screen. The name of your school will appear in the box. Please raise your hand if you do not see this page. Help any student who does not see his/her school. If a student is assigned to take a survey about a schoolhe or she does not attend, please ask him/her not to complete the survey. Record the student’s name, grade and student ID number, along with the name of the school that appeared on their survey, and reach out tosupport+).
- For students taking the survey in a language other than English. After you have entered your access code, you can change to another language. In the top left corner of the screen, you will see a button that says, “English.” To switch to another language, please click that button. The survey is also available in Spanish, Please select the language you would like to use from that list.Assist any students with language accommodations to determine the appropriate language in which to take this survey.
- Click on the “Begin Survey” button on the page. You will now be taken to the survey.
- After answering all of the questions, click the blue button at the bottom of the screen that says, “Submit.”
- Once you have completed your survey and see a final “Thank you” screen, it means you are done. Please read or work silently until all of your classmates have finished.
Frequently Asked Questions
If a student enters his or her access code, and the browser freezes or crashes before the student can submit the survey, what should I do?
If a student starts taking the survey but encounters a technical problem that prevents the student from submitting the survey, please help the student close and re-open the web browser and access the survey web site again.
If the browser closes before the student submits the survey, the student can simply log on again with the same student ID and try again. Although every student ID can only be used once, the student ID is only marked as “used” once the student completes the survey by pressing submit.
If a student accidentally submits the survey before he or she is finished, what should I do?
If a student submits a survey prematurely, please contact the survey team atsupport+ith the student’s name, the school’s name, and the student ID that the student used to submit a partial survey. The survey team will be able to reset the student’s access code so he/she can retake the survey.
If a student’s ID does not allow him/herto access a survey, what should I do?
If a student’s ID does not allow him/her to access a survey, please contact the survey team at support+ with the student’s name, school name and the student ID. The surveys were set up using district roster files, but in some cases, often due to student mobility, there may be students who were not included in those files.
Can I explain the survey items further for students who ask questions?
You may answer clarifying questions, but please do not reinterpret any survey questions for students. For example, you may define any unknown words used in the survey, but you should not rephrase a whole question or statement for students. If a student still has questions, please advise him/her to answer to the best of his/her ability or, if necessary, to leave the question blank.
What should I do for students whoare absent on the day the survey is given?
If time is available, please make arrangements to give the survey to students whomissed the original survey day. Please remember to administer the survey using the protocol described above.
Why are the questions on the surveys in my classroom different between students?
In order to test a variety of survey questions without making the survey longer for each student, we have created multiple forms of the student survey. Within your class, some students may have one survey form while others have a different form.
