JOB TITLE:FinanceAssistant
GRADE:Kent Range 3
ACCOUNTABLE TO:Finance Officer
JOB PURPOSE:To provide assistance within the Finance Office as detailed below.

KEY ACCOUNTABILITIES:
All staff at St George’s C of E Foundation School are expected to actively support and promote the vision and values of the school.
The Finance Assistant is responsible to the Finance Officer for the following:-
- To handle all ordering and delivery procedures of the school, liaising with the Lead Learners and Directors of Learning and Budget Holders to ensure compliance with the school’s policies and procedures.
- To ensure that goods and services ordered are commissioned in accordance with ‘Best Value’ andthat evidence is retained for future reference.
- To process orders on the school’s computerised accounting system, liaising with Budget Holders in respect of any queries relating deliveries, including arranging for credit notes if applicable and to arrange for the return of unwanted/damaged goods.
- To ensure all orders are delivered within appropriate time scale and follow up orders that fall outside.
- Dealing with the Petty Cash procedures of the school, ensuring claim forms are completed and signed by the relevant member of staff and all necessary receipts are in order. Dealing with the necessary reimbursements to members of staff and arranging for the account to be reimbursed on a monthly basis. Authorising cash in advance payments, in accordance with school procedures. Processing petty cash on the system on a monthly basis.
- Receipting of all cash received in Finance for school trips etc.
- Manage the payment process to mentors ensuring sufficient cash is available
- The banking of all school receipts, ensuring all procedures are followed correctly. Bring any discrepancies to the attention of the Finance Officer.
- Processing various ad-hoc annual or monthly routine work including income, journals and cashbook as directed by the Finance Officer and ensure all relevant transactions are processed in the correct period.
- To manage on-line payments ensuring correct budget allocation, recording and processing.
Cashless Catering System:
- To manage the Cashless Catering Account and process transfer on FMS. This will include on-line payments and reconciling the amounts in the two cash machines against the Catering Account.
- To manually update student and staff records when cash is taken in the finance office.
- To oversee reconciliation of the Cashless Catering system/bank monthly.
- To produce and analyse Management Accounting reports relating to Catering income as and when required.
Asset Management
- To register school assets in accordance with the School’s policy ensuring that the system is updated regularly.
- Once a year to Audit the register against actual items to ensure integrity of the register.
- To ensure that the correct procedure is followed for the disposal of assets.
Other Duties
- To undertake such other duties as the Director of Finance and the Senior Leadership Team may determine within the range of duties expected of Financial staff.

- Must have the ability to communicate effectively with all school Stakeholders.
- Must possess good organisational skills.
- Must be ICT literate.
- Must have an aptitude for figure work.
- Must have the ability to meet deadlines and work under pressure during busy times.
- Must be able to work on their own initiative, as well as part of a team.
- Must have a good standard of general education and be prepared to undertake further training as required of the post.
- Experience of accounts and use of accountancy software desirable
