TRAVEL BUDGET 23 March 2013 -22 March 2014 FORECAST INSTRUCTIONS

I need your travel forecast projections for new fiscal year, 23 March 2013 – 22 March 20 14. Use the only the forecast Excel spreadsheet which are the-50 lines or 75 lines included in the drop down listings. I do not want your homemade ones! Fill in blocks B thru E for each separate trip and E has the new drop down box for the category of purposes.( Click in the box to the far right of Column E) for you specific purpose.( The descriptions are also at the bottom of your 50-75 Line Spread Sheets. Columns F are self-explanatory. ( Note we eliminated the “OTHER” Category this year.

Column G should reflect the total cost of all your expenses that you will incur and include your local travel if approved in your forecasts too ( if you frequently visit the same places put use this example: XXXX visits @ $25 per month X 12 months = XXXX. Also list YOUR trips starting 23 March 2013 chronologically until 22 March 2014. Column H will automatically total all of your trips together. I have G & H protected to avoid losing the cumulative totals.

Helpful Hints

As you are calculating your combined total costs in column G, consider the following types of TDY expenses:

a. Your allowable per diem rates (hotel, meals and incidentals--see websites links below for GSA city per diem rates or JTR for military bases only).

b. POV mileage costs (currently it is .565 cents per mile; if you use rental car expenses factor in gasoline expenses to refill it; if you fly by air; remember to include transportation to and from the airport and hotel, parking garage costs, etc.

c. If any we any special TAA training for our TAA Conferences in 2013-14, you will not need to forecast that unless told to do so.

There is no way I can predict the mileage rate or per diem future changes, so use the current schedules, and if it goes up, I will inform you of the percentage increase or decrease later.
