Title: ROLE UK ProgrammeSupport Assistant

Responsible/Reports to: ROLE UK Programme Manager

Contract: This post is a fixed contract to 31 March 2019.

Hours: Full time, 35 hours per week. Based in central London. Normal working hours are 09:30 – 17:30 inclusive of breaks.

Salary: £20,000

About ROLE UK

The Rule of Law Expertise (ROLE UK) programme is funded by the Department for International Development (DFID) under the UK Government Overseas Development Assistance. In recognising the intrinsic link between improved rule of law and poverty reduction, the programme’s overall goal is to contribute towards poverty reduction, accountability and human rights through Rule of Law interventions including, but not limited to, improving policies, laws, institutional capacities, procedures and practices within legal and judicial systems in developing countries.

ROLE UK supports partnerships between the international development and legal pro bono sectors through the delivery of strategic rule of law assignments for the reduction of poverty in developing countries. ROLE UK facilitates assignments utilizing pro bono legal and judicial expertise as technical assistance towards development objectives/outcomes and offers some funding support.

Purpose of Role

Working within the ROLE UK programme management team, and closely with the Programme Officer and Finance Officer, the Programme Support Assistant will provide financial, logistical and wider administrative support to the ROLE UK programme. Your position at ROLE UK will provide you with insight into the functionality of an international development programme.

Key Responsibilities

Logistical and financial support

Supporting the delivery of multiple deployments of legal experts to developing countries (assignments), including:

  • supporting the application review process, including sense-checking budget requests and ensuring compliant filing;
  • liaising with in-country applicants to providing information and logistical support;
  • assisting with facilitation of visa applications, travel and accommodation bookings for travelling experts;
  • supporting ROLE UK duty of care arrangements and compliance of requests for assistance with the Overseas Security and Justice Assessment where relevant, arranging pre- and post-deployment and security briefings, ensuring duty of care protocol is followed;
  • administering assignment expenditure including financial monitoring of assignment budgets and actuals;
  • maintaining accurate records and filing of assignment status, activities and financial information;
  • supporting post-deployment follow-up activities, attending meetings and minute-taking when required;
  • ensuring reporting and feedback documentation is completed by applicant/experts and filed accordingly;
  • contributing to assessment of and improvements in ROLE UK’s assignment management systems and processes;

Programme administrative support

  • working with the Finance Officer, ensuring timely and accurate processing of invoices and maintaining internal expenditure records;
  • providing administrative and logistical support to the ROLE UK team including diary management, taking meeting notes, supporting expense claims, travel and preparation and circulation of reports, papers and other materials, arranging meetings for ROLE UK;
  • providing event management support– for delivery of ROLE UK events and meetings, workshops and ensuring that they run smoothly;
  • maintaining up-to-date knowledge management systems and processes;
  • support monitoring and evaluation and communications of ROLE UK, its activities and objectives, to ensure that data is gathered and reported against log-frame indicators;
  • other reasonable activities as required by the Programme Manager.

Person specification

Essential

  • A confident and proactive individual;
  • Strong administration and coordination experience;
  • Financial administration experience;
  • Experience and skills in Microsoft Office suite productsand an ability to learn new software and hardware;
  • Excellent oral and written communication skills;
  • Excellent diplomacy and interpersonal skills;
  • Experience of dealing with a wide range of stakeholders;
  • Excellent organisation skills and ability to prioritise and manage workloads effectively;
  • Comfortable working independently and as part of a small team;
  • Commitment to international development and the efforts towards the Sustainable Development Goals.

Desirable

  • Project administration experience;
  • A working knowledge of Quickbooks and Salesforce;
  • Experience of managing international travel and/or event logistics;
  • Event management experience;
  • Experience working in international development as well as internationally;
  • An interest and commitment to rule of law and access to justice issues.
