Use this procedure to filter the data in a Business Warehouse report
Prerequisites
Access to UC Flex Business Warehouse
Menu Path

Helpful Hints
  • Most of the same options are available whether the user right clicks on column titles, data in the column, or values in the navigation block.
  • Extreme caution shoud be used when selecting filters within the BW report. Incorrect choices of values will produce faulty reports.
  • All functions work the same in all Business Warehouse reports, regardless if the report is HRor Financial.
  • Business Warehouse is separate from the UC Flex HR and Financial system.
  • The Business Warehouse receives data nightly from the UC Flex HR and Financial system.
  • Data is retrieved for the reports and cannot be changed by the user.
Terminology
Characteristics –A business object, such as an Asset, a Vendor, a Fund or a Fiscal Year. It is a broad representation of the business object.
Characteristic Values– A characteristic’s identifier. Examples of values for the Fund characteristic might be “Faculty Club,” “PPR-Dermatology,” and “Army ROTC.”
Attributes –Provide additional information about a characteristic such as the valid-to and valid-from dates for a Grant or the address of a Vendor.
Key Figures– Values or quantities, such as amount, fixed costs, or number of employees. In simple terms, you can do math on it.
Variable– Selection criteria used to limit the results of a report.
Variables Entered– An area of the report that shows the variables that were entered by the user.
Navigation Block– An area of the report that shows some of the columns that can be added to or deleted from the report.
Drilldown– The Variables and Key Figures available in a BW report represent the report’s columns and rows. Drilldown is used to change the layout of a report by adding, deleting or changing the order of the columns and/or rows.
Conditions– Element of a report which enables the user to filter using a multiple variable approach with one characteristic and one key figure. For example, creating a filter for all positions that earn greater than $20,000

Procedure
1. / Open a Business Warehouse report.
2. / Perform one of the following:
If You Want To / Go To
Add a filter to a report / Go to Step3.
Remove or edit an existing filter / Go to Step11.
Filter on values not displayed in the report / Go to Step 21.
Undo one action or all actions from when the report was started / Go to Step 33.
Use Keep Filter Value or Keep Filter Value on Axis / Go to Step 36.
Use Filter and Drilldown by / Go to Step 45.
Use Conditions / Go to Step 49.
Close the report / Go to Step 81.

3. / Right-click on the Org Unit column title .

4. / Click the Filter Select Filter Value menu item .

5. / Click in front of a value.
/ Click to select as many values as needed.
/ The values in the executed report will be listed. If the report contain more than 1000 values, increase the Maximum Records: and click the Refresh button to bring more values into the list.

6. / Scroll down to view more values.

7. / Click in front of a value.
8. / Click the Add button .

9. / Click the OK button to apply the slected values to the report.
10. / Go to Step 2.

11. / Right-click the Org Unit column title .

12. / Click the Filter Remove Filter Value menu item .
/ By selecting the Remove Filter Value option all of the selected filter options will be removed.

13. / To restore the removed filter options, right-click the Org Unit column title .

14. / Click the Back Back One Navigation Step menu item .
/ The previous filter action will be reversed.

15. / To remove or add selected values, Right-click the Org Unit column title .

16. / Click the Filter Select Filter Value menu item .

17. / Click in front of a value in the Selections table.

18. / Click the Remove button .

19. / Click the OK button .
/ The removed selections will no longer appear in the report.
20. / Go to Step 2.

21. / Click the button to open the Navigation Block.
/ The report can be filtered by values not present in the report.

23. / Right-click Job .

28. / Click to close the Navigation Block to see the report.

29. / To edit the filter, click to open the Navigation Block .
/ The data used in the applied filter is not in the report.

30. / Right-click the item where the filter is located .

31. / Click the Filter Remove Filter Value menu item to remove the all of the selected filter values.
/ To edit the filter values without removing all the values use Select Filter Value option.
32. / Go to Step 2.

34. / Click the Back Back to Start option.
/ The Back to Start option will remove all changes made from the point the report was first executed.
The Back One Navigation Step will take the report one change back each time this option is selected.
35. / Go to Step 2.

/ The report will keep the filter value for the selected item but the data for that item won't be displayed in the report.

39. / Click Back Back One Navigation Step .

/ Two Conditions are active that eliminate all of the data on the report. (FTE = 100 and FTE < 50) Since there is no report, no action can be accessed with a right click on any column title or data value. Actions will need to be performed from the Navigation Block.

79. / Right-click Org Unit .

80. / To deactivate a condition, click Filter Conditions FTE = 100% Condition Active menu item .
/ Clicking on Condition Active will toggle the condition on and off. If a checkmark is present the condition is on.

81. / Click the Close Tab button to exit the report. If now using windows tabs click the close window button to exit the report.
/ If the report hasn't been bookmarked in the browser the report formatting changes will be lost.
