Position Summary

Under the supervision of the Administrative Major, the Office Assistant I is a non-exempt position performing clerical and data entry duties for the Geary County Sheriff’s Department. The employee in this position is responsible for typing, filing, record checks, operating a computer, answering the telephone, greeting visitors, and utilizing the page system.

Essential Functions

  • Enters information into the computer.
  • Types arrest cards, file tabs, and time cards.
  • Processes book-in data and arrest files.
  • Researches files to ascertain information.
  • Checks arrest cards for prior arrests and other information.
  • Pulls requested arrest files.
  • Monitors security cameras.
  • Staffs the front desk supplying forms, collecting and receipting fees, and receiving the public.
  • Maintains and balances petty cash.
  • Answers the telephone and transfers calls.
  • Records messages and pages the appropriate personnel as necessary.
  • Processes record check request, VIN checks and credit requests.
  • Prepares the daily status report.
  • Completes triple III’s and all necessary filing.
  • Due to the volume, scope, size of staff and nature of public service this office provides, full-time regular attendance is essential.

Marginal Functions

  • Assists warrants clerk with filing, teletypes and related NCIC procedures.
  • Other related duties as deemed necessary or as required.

Other Applicant Qualifications

  • Willingness to reside within a 30 mile radius of Geary County within 90 days of employment.
  • Pre-employment drug screening, credit check and background investigation will be conducted.

Position RequirementsOffice Assistant I

Experience: This is an entry-level position and prior office experience is preferred but not required. Employee is expected to have acquired the necessary information and skills to perform the job reasonably well after six months in the position. Must be at least 21 years of age and must be a U.S. Citizen per federal and state regulations.

Education: High school diploma or GED required. NCIC certified. Takes training annually in self defense, CPR.

Skills: Working knowledge of office policies and procedures, report preparation, grammar and punctuation. The ability to receive, interpret and follow written and oral instructions. The ability to type with moderate to advanced speed. The ability to operate a computer, typewriter, calculator, microfiche and other related office equipment.

Accountability: Employee is responsible for fees collected through the office. Employee does not have budgetary control of this department and does not participate in the annual department budget process.

Supervision: Supervision is provided and job related decisions are reviewed by the records clerk supervisor or undersheriff. Employee does not have supervisory responsibility over subordinate personnel.

Personal Relations: Frequent contact with other county departments and continual contact with the general public.
