APSE is once again facilitating its highly successful Fleet, Waste & Grounds Conference in Aviemore 2016. This event sees the largest Scottish trade exhibition of its kind, with over 100 exhibition stands.
Following feedback from the 2016 event, APSE will be continuing with a similar format. This includesa maximum number of 85 external exhibition stands available at the conference (maximum 2 vehicles per stand), no exhibitions in the rear car park, on site guest parking and all delegates located within the Hilton Coylumbridge. As always we have taken your comments on boardand are always looking to improve the seminar year on year.
Feedback from a number of exhibitors has also led APSE to request that once again in order to encourage further networking opportunities all exhibitors refrain from taking delegates off site. The objective being to retain everything on site in order to maximise exposure for exhibitors. APSE will also be continuing with the programme format of 2015, in order that we focus the conference within the Coylumbridge for the duration of the event.

Exhibitor Information
Conference
The conference will attract delegates, with direct procurement responsibility, from in the first instance councils across Scotland but also other areas of the UK.
Exhibition time is a key element of the seminar programme, with plenty of opportunities provided to meet and discuss your product or service with delegates. It should be noted that all receptions, including the annual dinner are joint events with equal access for both delegates and exhibitors.
Early booking is advised due to demand and the capped exhibition numbers for the event.

Internal Exhibition
As per last year, all internal exhibition stands will be within the main hall with the sessions taking place within the bistro area. Stands within the lounge area are still available on request.
External Exhibition Area
APSE is working with Allan Howie to see how we can continue to “freshen up” this year’s event. We are also looking at various ways to continue to increased delegate footflow to the back car park.
As this is the case no specific requests should be made to Allan until after 31st January 2016. There is however space at the bottom of your booking form to log any booking comments/position requests. Once sponsors have had their pick of spaces, a member of staff will be in touch to discuss various options as per your request. Early booking is still advised for this event as arrangements will still be based on when form is received and payment made.
General
Sponsorship packages are available which include a prime stand position and confirmed rooms within the Coylumbridge. Packages start from as low as £800 plus VAT and are the only way to guarantee your hotel allocation.
As per last year please note that the section at the front of the hotel will be primarily for sponsors and can accommodate different vehicle types.
Please be aware that all vehicles must fit in the stand space that you have booked as this could result in your vehicles being moved to another section.
Stand numbers will be confirmed/allocated before the event. Please note that while every effort is put in to ensure you get your exact space, that this is not always possible when the vehicles are being set up and may be subject to change.

Due to scale of this event, accommodation in the conference venue is restricted. As you can appreciate it is important to keep all delegates on site with maximum exhibition viewing time. Some sponsorship packages also include rooms at the venue and therefore there are only a small number left to be allocated to exhibitors not taking up one of these packages. Most exhibitor accommodation will be based in the Highland hotel which is located in Aviemore town centre. This is a four star hotel and transport will be provided to and from the venue.
In order to make it as fair as possible, accommodation is allocated based on when you pay for your booking. Your hotel allocation will be confirmed in your joining instructions which are sent out 2-3 weeks prior to the event.

How to Book
To book up for this event, please complete and return the booking form over page. Please take note of the following points:-
- Payment of your package must be made before the event.
- Confirmation of your booking and invoice will be sent within 10 working days of receipt. Any bookings received over the Christmas period will be confirmed in the new year.
- All booking are subject to APSE’s cancellation policy which can be found on the booking form.
- As places are limited at this event, accommodation and stand spaces are allocated based on the date you pay. Early payment is advised to avoid disappointment.

All companies booking should note that as per previous years exhibition bookings will not be confirmed until payment has been received although any completed booking forms are still liable under our cancellation and refund policy should you cancel before the event.
CANCELLATION & REFUND POLICY: Reservation is a contract. Substitution of reps is acceptable any time in writing by post or email to , or fax to 01698 200 316. Cancellations must be made in writing at least 30 days before the event and will incur a 20% administration fee. No refunds can be given for cancellations received less than 30 days before the event or for non-attendance. In the unlikely event of cancellation by the organisers, liability will be restricted to the refund of fees paid. The organisers reserve the right to make changes to the programme, speakers or venue should this become necessary.
