Position: Academy Coach
Background
The District Academy of Sport (DAS) is an initiative of the South African Sports Confederation and Olympic Committee (SASCOC), Sport and Recreation South Africa (SRSA). The NSRP clearly states that SRSA, Provincial and Local Government, are the key stakeholders in the implementation of the Academy system.The National Federations (NFs) are co-owners of the programmes provided by SASCOC. Provincial Federations (PF’s) should play a primary role inthe provision of the following:
• Talent scouts and coaches;
• Federation-specific technical expertise;
• Channeling talented athletes into their provincialstructures;
• Ensuring that the identified athletes receiveadequate support from provincial academies;
• Work with the national federations and clubs/affiliates to ensure that there is coordination of plans/ goals (identified athletes, coaching andsupport programmes, etc.).
The vision of the Academy is to provide professional support services to assist top level athletes, coaches, technical officials and administrators fulfill their potential. The system must assist in addressing the demographics of our national teams by accelerating the development of talented athletes particularly from disadvantaged groups. Athletes and coaches in the rural areas ofEden, Central Karoo, West Coast, Cape Wine lands and Overberg districts are beingprioritized.
Federation: ______(e.g. Eden Bowls) is the governing body for the sport of
(Sport Code) in the Eden District and is responsible for the promotion, development and coordination of the sport and its related activities in this region.
Note:
•The Academy’s budget is donor dependable by an external party, therefore this agreement does not guarantee renewal or extension.
•This agreement is based on a fixed term period
•This agreement includes the services of coaches rendered to the academy; coaches are not employed by the Eden District Sport Academy.

1.The Position – Academy Coach (Refer to SA LTCD doc)
(This role may consist of 2 steps, based on the coaches desire to take on additionalresponsibility
And/or receive payment for coaching)
Step 1: The Coach plans, leads and evaluates sessions and blocks of sessions. The Coachwill have the ability to work independently, but will often do so under supervision aspart of a programme’s staff. The Coach will support the involvement and developmentof Coaching Assistants. The level of knowledge expected at this levelextends beyond the basic for core, sport specific and domain specific areas.
The coach should demonstrate practical and cognitive competence to deliver basiccoaching functions independently in open, yet structured environments. The Coachhas the ability to carry out basic evaluations, leading to appropriate conclusions and makesimple adjustments.
Step 2: The Coach deepens engagement, proficiency and insight in the areas as indicated in step 1 andengages in further professional development. The number of athletes on the program will vary from time to time. NF’s selection criteria will form the basis of any selection of athletes onto the squad. The high performance program has a primary objective of preparing athletes for success at national and international events (world junior championships, world youth championships, national junior and senior championships).
2.Reporting
The Academy Coach will report to the Technical Committee. The technical committee will consist of:

The technical committee will:
- Meet on a quarterly basis or as and when required.
- Obtain a monthly progress report from the coach
- Monitor the performance of the program and the Coach/s
- Monitor athlete management/welfare
- Approve and monitor the annual operational plan and budget
- Monitor the federation’s usage of the service providers.
- Evaluate and compare the usage of service providers with requesting of funding.
Note! The federation together with the Academy Head Coach has to ensure that the assistant coach is reporting to the head coach. The head coach is responsible for the monthly progress report (detailed below) to the Academy via the federation.
Head coach needs to report monthly on the following:
- Monthly Calendars of trainingschedules of athletes(Template provided by DAS).
- The Periodization plan of the specific code of sport. ( pre-season, in- season, off season)
- District/Provincial/National/International events that the academy athletes will be participating in.
- Monthly Performance of athletes, including pictures/newspaper articles.
- Daily/Weekly Attendance Log sheet(Template to be provided by DAS)
3.Duties and Responsibilities of the HEAD COACH/EMPLOYEE will include
SET THE VISION AND STRATEGY (25%)
3.1Appreciate the big picture:
Take account of the main elements of the community, district and sport specific contextwhen planning and delivering sessions.
3.2Alignment and governance:
Operate effectively within the structures of your NF’s/PF’s,within which the coaching academy programme occurs.
3.3Conduct a needs analysis:
Conduct a basic analysis of the needs of the athletes.
3.4Establish a vision:
Develop and communicate the basic goals of the academy programme as aligned to the NF’/PF’s programme.
3.5Devise a strategy:
Develop a basic strategy to achieve the goals of theacademy programme as aligned to the NF’s/PF’s programme.
SHAPE THE ENVIRONMENT (7.5%)
3.6Develop an action plan:
Develop a basic operational plan to implement the strategy.
3.7Identify and recruit personnel:
Induct and manage participants and support personnel/ass-coaches for the academy programme.
3.8.Organise the setting and personnel:
Organise the setting and personnel effectively and safely.
3.9Safeguard and protect athletes:
Ensure that athletes are protected and free from harm, checking the background of all assistants and pre-coaches that operate within the academy programme.
3.10Develop progress markers:
Identify basic measures of progress for sessions and the season.
BUILD RELATIONSHIPS (2.5%)
3.11Lead and influence:
Provide leadership for participants and assistants and engage with key personnel within the hostorganisation (club, school etc.).
3.12Manage personnel positively:
Establish and manage good working relationships with assistant coaches.
3.13Nurture individual relationships:
Build and maintain healthy connections with athletes, coaching assistants and keypersonnel within the host organisation.
3.14Be an educator:
Provide guidance to assistant coaches, parents, athletes and others in core elements of coaching
CONDUCT PRACTICES, CAMPS AND STRUCTURE COMPETITIONS (50%)
3.15Guide practice:
Set basic goals for sessions; develop, implement and coordinate appropriate practices to promotelearning.
3.16Structure competitive experiences:
Select, participate in and manage suitable competition opportunities.
3.17Training Camps:
3.17.1Inform all the athletes and respond to all the required information the DAS requests regarding (transport, confirm attendees etc.).
3.17.2Coaches and all athletes MUST attend all training camps.
READ AND REACT TO THE FIELD (10%)
3.18Observe, analyse and provide feedback:
Observe and analyse the performance of participants and provide appropriate feedback to
promote learning.
3.19Record and evaluate:
Gather and manage basic data to assist in monitoring progress.
3.20Make decisions and adjustments:
Respond to what you see on the field and adjust accordingly
LEARN AND REFLECT (5%)
3.21Evaluate the sessions (and programme):
Evaluate your sessions against the initial goals, demonstrating the ability to adjust accordingly.
3.22Self-reflect:
Reflect on and articulate coaching philosophy; coaching practice and competition.
3.23Develop professionally:
Take part in relevant professional development activities, including interaction with other coaches
and supported by best practice and ethical standards.
3.24Innovate:
Be creative and find solutions
4.INCENTIVE
4.1.The stipend for the Head coach - R24, 000-00 per annum (R2000-00 per month)
4.2. The Eden District Sport Academy shall pay the Sports Federation on the last working day of each month, subject to report received timeously.
4.3If reports and obligatory documents are not submitted it will result in no payment.
4.4 The federation needs to provide proof that the coach has been paid each month.
5.DURATION
It is recorded that, due to the funding received from the SRSA (DORA GRANT), this agreement is fixed for one (1) year or twelve (12) months.
5.1.Irrespective of the date or dates of signing this agreement by parties, it is agreed and recorded that the Agreement shall be deemed to be of force and effect from September 1st 2015until August 30th 2016 at the place in the Republic of South Africa on the mentioned conditions.
5.2.The coach hereby expressly acknowledges and accepts that the Agreement will terminate automatically upon expiry of the agreed period.
6.COACHING HOURS
A minimum of 6 hours per week shall be maintained with athletes.
7.TERMINATION
7.1 Notwithstanding anything to the contrary in clause 5.1 herein contained, the coach may terminate this Agreement at any time during the currency thereof on giving one month’s notice in writing to the Provincial/District Federation General Secretary; DAS Manager/Administrator. The DASmanager in consultation with the Provincial/District Federation may, however in its discretion accept a shorter period of notice.
8.ARBITRATION CLAUSE
Should any dispute arise which involves the Union, its officials, any clubs affiliated with the Union, and any officials, players or members who are subjected to the rules of this Constitution, pertaining to any matter arising from the interpretation or implementation of the Constitution, or arising from the sports governed by this Constitution, then such dispute shall be referred to the Arbitration Forum of the Western Cape Provincial Government, to be dealt with in accordance with the Rules of that Forum.
9.INVENTIONS AND THE LIKE
All inventions, improvements to inventions, secret processes and know-how, any athlete testing protocols, data (sport specific norms, athlete’s profiles) reports resulting from the testing process, training courses and materials discovered, developed or acquired by the Employee through his Agreement with the District Academy shall be and will become the property of the District Academy and the South African Sports Confederation without any compensation being paid to the Employee by either the District Academy or SA Sports Confederation.
The Head Coach is required to sign whatever document the District Academy and SA Sports Confederation reasonably require to ensure that inventions, improvements to inventions, secret processes and know-how, any athlete testing protocols, data (sport specific norms, athlete’s profiles) reports resulting from the testing process, training courses and materials are patented in the name of the District Academy and SA Sports Confederation anywhere in the world.
10.CONFIDENTIALITY
Save to the extent authorized by the MANCO or member nominated by the Management, all and any business dealing, trusts, secrets, information and confidential information relating to athletes’ personal information in the possession of or relating to the business of the District Academy shall not be divulged to any person or party without the Management’s or athlete’s written consent.
11.CONFLICTS OF INTEREST
Upon commencing work within the District Academy, the employee has a duty to disclose any external employment, continuing with any of the above.
The coach/employee must devote a minimum ofsix(6) hours per week to complete his duties diligently and competently to academy business.
The coach/employee may not enter into any agreements in his personal capacity which would be in conflict with the interests of the District Academy.
The coach/employee may not accept or solicit bribes or secret financial gain, of whatever nature, pursuant to the performance of his duties and/or the employment relationship with the District Academy, whether or not the District Academy suffers any prejudice from such bribes or financial gain.
12.ACADEMY PROPERTY
Upon termination of the consultancy, the coach/employee will immediately deliver to the District Academy all correspondence, documents, specifications, paper and property (including intellectual property) belonging to the Academy which may, at the date of termination of the consultancy be in the coach/employee’s possession or custody.
13.BREACH
A material breach of any of the provisions of the coach/employee’s conditions of employment with the District Academy shall entitle the Academy, without prejudice to apply any other remedies available to it, summarily to terminate the coach/employee’s Agreement under this agreement.
14.PERSONAL INFORMATION
The coach/employee’s identification and tax numbers, driver’s license, certified highest education certificate as well as unemployment insurance record card, where applicable, should be submitted for record purposes. All personal information appearing on the coach/employee’s application shall be treated with confidence and accepted as true and correct. Any false statements, particularly with regard to educational qualifications, may lead to disciplinary action.

15.DOMICILIA AND NOTICES
The parties hereby select their street and postal addresses as domicilia citandi et executandi for the purposes of this agreement, including the service of all notices and processes in connection herewith, as under mentioned.

16.ACCEPTANCE
16.1The coach submits to the jurisdiction of the Courts of the Republic of South Africa in the event of any legal proceedings arising from the provisions of the agreement.
