JOB PURPOSE
To ensure the smooth day-to-day running of the organisation’s operations through providing administrative support across the organisation.
MAIN RESPONSIBILITIES
- Producing the weekly and monthly ebulletins by collating information from colleagues.
- Providing administrative support to organisational teams.
- Providing support for events such as Away Days, training days or courses, publicity events, conferences, networking meetings, and other events.
- Ordering of any supplies required by the organisation.
- Organising outgoing and incoming mail, including bulk mailings throughout the year.
- Answering telephone requests and signposting clients to relevant staff or agencies.
- Maintaining client membership and relationships as well as accurate records of renewals and subscriptions throughout the financial year.
- Supporting teams to update and maintaintheir databases/client management system.
- Assisting with the provision of good quality publications, both internal and external, across the organisation.
- Assisting the organisation to achieve a quality standard.
- Assisting the processing of DBS applications.
- Posting on to the website/CRM details of events/training and also job adverts.
- To be aware of and implement health and safety responsibilities as an employee.

QUALIFICATIONS
Essential
Educated to A level standard or equivalent
Desirable
Administration, management qualification and/or qualification in IT
KNOWLEDGE, SKILLS AND EXPERIENCE
Essential / Assessment
- Ability to use a number of IT Packages to a high standard, such as Microsoft Word, Excel, Access, Outlook, Publisher and Power Point
- Basic knowledge of Health and Safety
- Excellent telephone and reception skills
- Good Numeracy Skills
- Excellent administrative skills
- Ability to arrange meetings
- Excellent interpersonal skills and able to work effectively as part of a team
- Ability to work unsupervised and use own initiative
- Ability to maintain confidentiality
- Ability to work flexibly and under pressure
- Demonstration of willingness to undertake training courses as necessary
- Ability to demonstrate commitment to the principles of equal rights and opportunities
- Ability to attend meetings outside Community First Yorkshire’s main offices
- Ability to work occasional evenings and weekends
Desirable / Assessment
- Experience of working with or in the voluntary and community sector
- Experience of facilities and office management
- Ability to write reports, and newsletter articles
- First Aid qualification
- Experience of working with or creating information management systems
- Events and/or training management experience
