District Camp Meeting

Item / actionDates: Agreed that district camp would be a family camp this year from Saturday the 25th to Monday 27th of May.
Roles: Expressions of interest in some roles were noted from those giving apologies, however, it was felt that role allocation best considered at meeting with more participants. It was identified that priority should be given to supporting new parents to get involved with the support of more experienced adults. DFs and Venturers should also be encouraged to participate in sub-groups. Stuart will take on role as camp co-ordinator to manage process until camp chief identified. / Stuart to co-ordinate.
Sub-groups: To be convened once roles identified these will include: KP, site services and safe-guarding and programme.
Bookings and pricing: Bill pointed out that Debden have increased fees this year, which prompted a discussion about fee structure camp and need to absorb this cost plus increased cost of food. Agreed to increase fees by £5.00 accordingly plus an early bird discount.
The district reaffirmed their commitment to ensuring that all can participate in the camp and will provide financial support to those who would otherwise not be able to afford the camp fee.
Deposits of £5.00 non-refundable will be paid by the 27th of March.
Need to ensure adult membership and CRBs are up to date before camp. / Bill will book Debden.
Mary will draft booking form to reflect pricing structure.
Jack to promote membership at district social.
Theme: discussion that theme should be with a rights theme (civil, human and animal). / programme group
Future meeting dates: Next camp meeting will be 2nd of March at 10.00 in Coffee 7.
Stuart set following dates:
- 27th of Feb booking forms to be circulated.
- 27th of March deposits in.
- 8th of May district camp preparation session.
- 9th of May final camp planning meeting.
Stuart circulate action plan
Cycle project: Angus explained that we have new Co-op grant of £1,900. Plan is do a programme of cycle activities: including cycle rides; cycle training; Dr Bikes; and a cycle residential. It was agreed that the cycle residential should involve the district as a whole with varying levels of input. The residential will take place in September instead of the low carbon camp. Mary pointed out that we also have £500 to spend from previous cycle project and the importance of keeping good accounts. / Angus- to organize cycle sub-committee to plan.
AOB:French exchange agreement of spending to secure YHA accommodation for French visitors in the summer. District agreed that deposit could paid if grant funders able to back pay. / Stuart to organise and inform treasurer.
