A survey of the members taken at the 1999 NCWSS meeting indicated that the majority favored an electronic /searchable form of the Research Report compared to the traditional book version. In response, the Board of Directors of the NCWSS has voted to change the way the Research Reports are distributed, this after careful consideration of recommendations put forth by the Editor.

Beginning this year the Research Report will be distributed on a compact disk (CD). The CD format provides many advantages including: lower printing and shipping costs, better indexing, electronic search capability, cleaner paper printouts (each report you print is an original not a photocopy), and an internet site that helps people discover the work being conducted by our society members.

Changing to a CD format means changing the way contributors submit their reports to the editor.

Last year, many contributors were able to send Adobe Acrobat files via email which saved both time and money compared to mailing printed reports. Emailing files was especially useful for quick turn around when the editor requested changes to a report.

Adobe Acrobat was one of the first “file formats” designed specifically for sharing of documents by people who were “not exactly using the same system.” Adobe’s PDF format (portable document format) was designed to both minimize file size and preserve document content and format. The lengthy and complex data tables presented in the Research Report require exact reproduction whether printed or viewed on a computer screen, and Acrobat can do it!

In the event that contributors cannot produce Acrobat files, the editor is prepared to scan your printed reports, and create the Acrobat files. However, scanning does not make as nice a PDF file compared to those that are created from your wordprocessor or spreadsheet program and converted to PDF files. If you need assistance learning how to make PDF files, please email Joe Matthews at . If you want to send us a sample PDF file, we would be happy to review it and let you know if there are any problems. To the people who sent PDF files last year - Thank you!

The following page is an Index Outline to be completed and emailed to the editor, one for each report you submit. The index outline you submit becomes the “keywords” for the searches performed by the end users. Search engines can therefore find your report based on any words you include in the title or the objective, as well as any author, crop, weed, or herbicide. The format is similar to last year with a few changes:

  1. A statement of the objective of the study is requested on line 4.
  2. For crops, list both common name, the scientific name, and the variety/hybrid.
  3. For weeds, list common name, scientific name, and five-letter code.
  4. For herbicides, always list the approved common name or code number, and list the trade name when available. (This will make it possible to search by herbicide trade names if multiple products have the same active ingredients.) List approved common names for the components of pre-mixed herbicides as they appear in the report. List trade names for pre-mixed herbicides as well, when available.
  5. The order for weeds and herbicides should be in the same order that they appear in the tables. We verify each and every index outline against the tables, as your two reviewers should as well, and we find it easier when the order in the index outline follows the order in the tables.
  6. We have provided lists of crops, weeds, and herbicides based on last year’s Research Report beginning on page 4 of this file. Hyperlinks to lists have been provided, or use PageUp and PageDown.
  7. In any section, press the TAB key to in the last cell of the last row to insert an additional row.
  8. Please try to send individual reports as they are completed, rather than waiting until all your reports are completed.

When a single formulation of a herbicide is used throughout a report, footnoting of the formulation is not required unless it had an effect on the results.

Do not use trade names for herbicides in the body of a data table.

Do not use trade names for herbicides in the text of a report except to specify the formulation that was used, and then only when it had an effect on the results.

Trade names that you report in this index outline will be incorporated into the electronic searching capability of the 2000 Research Report. Electronic searching will allow a reader to find your report based on multiple search criteria including herbicide trade names and five-letter codes for weeds.
