STAFF DUTIES – Break & Lunch
Staff are rotated to do break and/or lunch time duties, as directed by team leaders/SLT.
One member of staff from each class is rotated to do a lunch time social dining with the Students, this member of staff receives a free school meal.
The Department Leader will notify you of all rota’s.
AFTER SCHOOL CLUBS
After school clubs run from 2.30pm until 3.30pm on Mondays and Thursdays.
We require mini bus drivers and escort to take Students home – you do get paid for this.

ADMIN
ID SECURITY CARDS
You will be issued with an ID security card to access areas of School.
If you forget your ID security card please go to the school office and you can sign a temporary card out for the day. It must be returned at the end of the day.
If you lose your ID security card please report it immediately to the school office.
POST
External post should be brought up to the school office for posting. All mail will be sent by 2nd class unless otherwise stated.
Incoming post is distributed to the key stage areas ie, KS3, KS4, Galaxy Suite & Horizons (post 16).
SIGNING IN AND OUT - Leaving the Grounds
If you and/or Students leave the building during the day you are required to sign out and sign back in upon your return. The signing IN and OUT sheets can be found in the school office.
MESSAGES FOR STAFF
General message are emailed to staff.
URGENT messages are given in person.
FAULT REPORTING TO COFELY SITE MANAGERS
PROCEDURES
Staff are required to complete a COFELY workplace form (these can be found in the staff work room in KS3) making sure the room number is entered on the form, then give to the school office.
Fault reporting covers the following;
Cleaning, damage to property, moving furniture, heating, lighting.
TRANSPORT
DRIVING A MINI BUS
You are required to take a mini bus driving assessment test before you can drive a mini bus. Please see the Administrations Officer for procedures.
BOOKING A MINI BUS
Staff should complete a ‘Mini Bus Booking Form’, which can be found in staff work room (KS3 area), and given to the Assistant Administrations Officer to complete the booking.
Please check on the Learning platform under ‘Organisation – mini bus to see the availability before requesting your booking.
USING YOUR OWN CAR
Staff must check with their own insurance company that they have the correct insurance to transport Students in personal cars. You will need to sign a ‘Declaration of Insurance,’ please see the Administrations Officer.
OUTSIDE SCHOOL HOURS
SCHOOL SOCIAL EVENTS
These include Bingo, Summers Fairs etc. These are voluntary events organised by staff - staff attendance and support is always appreciated.
RESIDENTIALS
Staff are encouraged to take part in at least one residential per academic year with groups of Students, this includes the UK and abroad. This is open to all staff to organise and take part.
HOLIDAY CLUBS
Holiday clubs are run on Wednesdays and Thursdays every half term (except the Christmas break) and start at 9.30am-3.30pm. In the 6 week summer break there is usually a 1 week residential.
Staff are paid for these extra hours (see the School Business Manager for rates of pay)
PARENT EVENINGS
These usually take place twice yearly and are between the hours of school finishing and 5.00pm
STUDENTS
YEARLY CONSENT FORMS
It is staff responsibility to make sure every student has a signed copy on school records of the ‘General Yearly Consent Form’ – this gives parental permission for Students to be taken out of school (includes going to the shops, park, cinema etc), to have their photos and videos published. The file can be found in the school office.
ELECTRONIC EQUIPMENT & MOBILE PHONES
Mobile phones and other personal devices are not permitted in school, because of the temptation to cause distraction in classes, as well as being susceptible to accidental damage and potential loss. However, where students travel to school independently and parent/carer request they need a mobile for personal safety. Mobile phones can be handed to the Deputy Head or class teacher in the morning and collected before leaving school.
STUDENT FILES
These can be located in room G/1.33 on the first floor. Please collect and return the keys to the school office. Information in the files should not be given to any unauthorised persons.
STAFF WORK ROOM
This room for staff use only, students are not allowed in this room.
GENERAL
PARKING ON SCHOOL GROUNDS
Please use the main carpark or the overflow carpark near the sports hall.
Please do not park in the minibus & motor cycles, parents & visitors or taxi points.
SCHOOL MEALS
If staff wish to purchase a school meal this should be booked in morning registration and recorded in the pupil dinner register. The cost of a staff school meal is currently £2.50

CPD – Continued Professional Development
PROCEDURES
Find the relevant course, check with the School Business Manager and your Line Manager the date, complete the relevant paperwork, then haveit authorised by the Headteacher. Book the course.
All staff will receive an annual report on CPD across the school.

FINANCE
PROCEDURES FOR PURCHASING GOODS
Most items can be ordered using Derby City Council’s ordering system by completing an order form which can be found in the staff workroom in KS3. If you wish to place an order for resources please complete the relevant form and make sure you have this authorised by the budget holder before submitting. This can then be handed to the Assistant Administrations Officer in the school office for processing. Each class has a budget for resources, rewards and breakfast club. The forms can be found in the workroom of KS3 or on the learning Platform.
DEBIT CARDS
Goods can be purchased on-line or from suppliers,using a school debit card, where order forms cannot be used. Please see the School Business Manager in the school office for advice and form.
PETTY CASH
If you wish to purchase an item for school and this is to be reimbursed please complete an expenditure slip, kept in the school office, and have this authorised by the budget holder and executive leader prior to purchase. Amounts up to £15 will be paid in cash. Amounts over this amount will be given in a cheque. Petty cash is processed once a week, usually on a Thursday, and can be collected any dayafter 2.30pm.
MILEAGE / EXPENSES
If you wish to enquire about claiming mileage or expenses please see the School Business Manager for procedures.
HR
ABSENCES
If you are unable to come into school due to illness or for compassionate reasons please telephone the school office on 01332 571151 as soon as possible after 7.30am on the first day of absence. You can then, if you wish, text or phone your colleagues. Please also call on subsequent days if you will not be attending unless you have a certificate signing you off school.
You can self-certificate for the first 7 days (including weekends) after which a Doctor’s note is required. On your return to school please collect from the School Business Manageran ‘Employee Sickness Notification’ form or a ‘compassionate leave’ form for completion which should then be signed by the Headteacher during your ‘return to work’ interview.
APPOINTMENTS
Please try and arrange any appointments for the dentists, doctors etc., out of school time if at all possible. If you need to have time off during the school day to attend an appointment this must be agreed beforehand by completing a form, available from the school office, and authorised by the Headteacher. Please also attach a copy of the appointment card/form if applicable.
PERSONSAL CIRCUMSTANCES
If your personal circumstances change, change of address, telephone number etc. please let the School Business Manager know as soon as possible.
LEAVE OF ABSENCE
Should you require Leave Of Absence in exceptional circumstances this must be applied for in advance and is at the discretion of the Headteacher and Governors. Usually, if this is granted, it will be without pay.
PAYROLL
If you have any queries regarding your pay you can either contact payroll direct using the information on your payslip or speak with the School Business Manager.
PERSONNEL
If you have any issues relating to personnel please see the School Business Manager.
e.g. compassionate-urgent leave, maternity/paternity leave, sick leave etc.
STAFF DRESS CODE
All staff are expected to adhere to a smart, professional appearance that sets a positive impression for students and visitors. Where there are off-site activities, alternative appropriate clothing may be worn on that day. Denim jeans are not deemed appropriate in classroom or school-based sessions.
