Minutes of Meeting held at the Royal Oak, Easterton
on Tuesday 16th June 2009, commencing at 7.00 pm

These were received from the Easterton and Market Lavington WI (Represented by Hon Sec), and from Gordon Blagbrough, Anne Blagbrough, Raine Green, Mike Macpherson, Ken Morrison, Victoria Munday, David Part, Imogen Snook-Brown and Nick Thompson and Mala Waters.

David Green welcomed everyone to the meeting.
2. Minutes of the Meeting held on Tuesday 14 April 2009
These were accepted and signed as a true record; proposed by Tony Doyle and seconded by Carol Part.
3. Matters Arising
There were no matters arising.
4. Financial Matters
Carol Part confirmed that the examination of the accounts and action to publish them was in hand.
5. Projects
The possibility of buying tentage for the Village Forum in the longer term was still being considered.

6. Rock and Race Night and The Country Fair
David Green introduced the planning table for these two major events and each serial was considered. A copy of the planning table covering both events is attached.
Country Fair: 31 Aug 09. The meeting went through the planning table and discussed all the issues arising including additional stalls and attractions, and confirmed that an evening BBQ following the Fair would be hosted by the Royal Oak. Publicity for the event will now be taken forward. The first of the 2000 available Raffle Tickets were distributed.
Rock and Race Night: 1 Aug 09. The meeting discussed and agreed the format, ticketing and timings for the evening.
7. Any Other Business
a. Gazebo: It was noted with thanks the kind gift to the village of a large gazebo from relatives of Ken and Pat Morrison. Richard Snook had agreed to store it.
b. Remembrance Sunday Lunch: Tony Doyle had had some informal discussions with a speaker who would be pleased to talk about Wiltshire VCsand medals. He would confirm back later. It was agreed that the singing programme would be repeated.
c. Regional Development Funds: David Green briefed the meeting on his initial discussions with John Dowsett of the Regional Development Agency regarding financial assistance to support the impact on local facilities as the population of the village rises to 270 dwellings. This included diverse funding sources such as Sustain the Plain, Arts Council and Village Halls in Wiltshire.
8. Date of Next Meetings
It was agreed that no further formal planning meetings were required before the Rock and Race Night on 1 Aug 09. Any concerns arising would be raised in the usual way to Forum Committee Members.
