GBNT Board of Directors Meeting

Announcements: Chuck Wagon bbq is tonight at ballpark at 5 pm; sold 100 tickets; 20 additional tickets available; dance after 8 pm is free
MSA to accept minutes from July 25, 2009
President’s report: addressed rumor that board of directors has eliminated all funding for advertising for sales office; not true – looking at alternative methods, more modern ways.
Vice President’s report: We have 4 people running for the board; will have a full board in September; people running are: Wayne Kubli, Steven Pokrandt, Scott Campbell, and Jody Bedell; need people to count ballots on Friday night; Meet the Candidates will be Saturday of Labor Day weekend – time to be announced; annual meeting will be September 26th 10am at ACH. Thanks to everyone that has helped volunteered over the years.
Treasurer’s report: Net income of $57,440; capital improvements of $25,448 – bridge expenses of about $7,000 will be added to capital improvements; some expenses for ballpark and pools will be taken off as those are not capitalized. Budget workshop next Saturday, 10 am in ACH; come give input; good budget; not planning on raising dues for next year. Despite the economy the park is doing good; Bill M and his crew are saving us money, people are paying dues on time. We are doing well with the electrical fund; haven’t put as much money in this year as transfer fees are down; money in electrical fund is dedicated, it can only be used for electric items; everything will be documented. Char presented proposed revision to 2nd Notice Letter – page 1 is current version, page 2 is revised – adding ‘and/or’ after 1st bulleted item for clarification.

Park Manager’s report: Load testsfor bridge are complete; with 180 thousand pounds of weight the bridge only sunk ½ inch; when loads taken off, bridge sprung back - bridge is in excellent shape for the winter; Bill talked with David Way from DNR & Jamie from Fisheries, park can put ‘bandaid’ on bridge for this year; putting big rocks at bottom of bridge within week or so Future replacement of bridge with blocks further away from the creek – it will be very expensive. Painting will happen next year. Fencing area at play area at ballpark is completed. Deck in front of office is going to be replaced with trex decking as the boards keep rotting, Bill will get 3 bids for decking, has one from Chinook & Barmans, will get one from Lowes – it should be about $4000. Needed to redo wiring by adult pool; ice machine at youth center was 31 years old and had to be replaced – cost $3909.60, Youth center sells lots of ice, within 3 years new machine should pay for itself; Steve hurt his arm; Randie tore a tendon in his arm and will have surgery next Tuesday so short-handed in staff. At the last workshop, there were requests to look at usage of adult pool – small group is now collecting feedback on usage of adult pool for next year. Bill M is planning on closing youth pool September 9th or depending on weather; once youth pool is closed can kids use adult pool? Adult pool can stay open as long as the weather holds up and people are using the pool. CeCe Johnson #645 adult pool temperature is cold – can it be raised as we have been saving money on propane.Lori Boucher #667 if children use the adult pool once the youth pool is closed, there needs to be a pool attendant. Youth center can stay open on weekends after Labor Day weekend if employees are willing to work and there are people that want to use it.

Committee reports:
Administration: Administrative Policy 37 had ‘dusk to dawn’ instead of ‘dawn to dusk’ for hours of operation; road going up to archery range is not being chained at night – security is responsible for it. Last person at archery range should close shed.

Activities: balance is $20,497.89; annual meeting on September 26th – kitchen will be serving $2 lunch 11-12:30 pm. Ted is working with Jesse for planning Labor Day weekend activities; presented youth budget; over $500 budget so asked for additional funds – Anderson’s are asking for $250 for music for youth dance. Adult dance on Saturday night at ballpark; youth activities on Saturday Sunday at youth center. Concern that total expenses are approximately $650-700 for youth activities – rules state that activities are supposed to be self-sustaining, no attempt to recoup monies.
Janice Meeker #926 – there will be a cake walk which will bring in some money; every cake will bring in $2.75; currently have 50 cakes, more needed. Pam Walker #516 – if we have $20,000 in activities account; and can spend $4000 on ice machine and raise the temperatures of the pool, $700 for this one occasion won’t kill us. Bill T – request for funds started off at $350 now up to $700; other activities have been planned and spent less money; part of job to bring up issues. Ice machine is a capital investment. We are investing in our children by providing youth center all summer long – they are not being short-changed. Discussion followed how money in activity fund is spent throughout year for various holidays and activities.
Sue Trautman #476 – youth center will need to stay open longerthan 8pm on Sunday September 9th, has that been figured into the budget – Monday the center will close early so it will balance out. Nina Stach #712- about 6 years ago within the activities funds there was about $800 allocated for the youth; if they wanted to raise money they held car washes, etc; and during treasurer’s report, amount left in youth fund was presented. This year $500 was allocated for youth center; there is about $130 left. Janice Meeker #926 – last time there was karoke & dancing the kids left after eating; they can bring cd’s for music; they don’t usually stay and dance.

MSA for $250 for Anderson’s to put on karoke dance for youth from 5-10 pm on Saturday of Labor day weeked – motion failed
Question if Anderson’s can do karoke Friday night at ballpark? Unknown what Jesse has planned.
MSA to allow children under 16 to ride atv’s and orv’s during the hours of Poker run of 9:45 am – 12:15 pm on Saturday & Sunday of Labor Day weekend; they must be accompanied by an adult.

Membership: in July the committee approved 1, denied 2; in August approved 5, denied 1; 3 for tomorrow’s meeting.
Violations: no violations came before committee this month. Dan asked about Administrative policy #8, attachment B, page 3, dated 1/26/08regarding fire pitsize & location. Scott said that information was moved to page 4, it is not missing. Recently there were 2 people trespassing on other person’s lot; security escorted people out of the park; member who let people in parkis being sent to violations.
Sales: sales aren’t going very well; similar to housing market; Terry has 45 memberships for sale. Question asked why people are selling – are there problems, are they unhappy? There are a number of older members that are selling; the economy; and closing of some riding areas in Reiter Pit. Pam Walker #516 – have met many of the new people that have come in the park in the past few years; many are unhappy with their lots due to amount of traffic; suggested that sales should be more honest about location especially on busy streets. Steve will mention comment to Terry in sales.
Facilities: workshop on August 8th – 14 members in attendance; concern about large truck parked by adult pool – member has been working in the park & hauls gravel in park; truck will be removed. Question if we are going to open up the vacant area by ORV wash for overflow parking; blackberries by motorcycle gate were sprayed – don’t eat. There was a fire at burn pile started by spontaneous combustion; don’t dump things that are not burnable such as plastic and roofing materials. CeCe Johnson #645 – hill outside of ACH back door – kids are coming down hill into the street - Bill M will look at. Member concerned about safety of young adults at ballpark late in the evening due to lack of lighting. Poles are laying there, they will be put up soon. Question if lights in bathroom could be on sensors; Bill M will check out feasibility. Need volunteers for gate duty for Labor Day weekend – sign up in the office.
Civic: Ted presented Administrative Policy #38 for consideration regarding ORV committee – to be on September agenda; committee wants to be called ‘GBNT ORV Club’; given an opportunity by DNR – David Way has a project in Reiter Pit area that members can participate in on September 13th. DNR wanted to know if park can provide a backhoe; Bill M does not want to send our backhoe out of the park due to liability issues; DNR has own equipment. Park rules state that equipment can’t be used for personal use outside of the park. Details about work party will be provided through email. Dave Gibb has equipment – Bill M will talk with Dave if he is interested in participating.
Bingo: $17,500 approximately in fund; last day is September 26th; need help September 6th(Sunday of Labor Day weekend) to serve bingo food.
