While initiating the conversation, please keep RC, job description and resume open.

Please get contact details from Resume/email and enter them into RC before you call or after your call.

Below are the steps to be followed which are elaborated ahead:

1.  Start with Greetings

2.  His availability for job.

3.  Matching skills/Job description/Technical skills

4.  Rate

5.  Work Authorization.

6.  Employment Status (W2…)

7.  Then asking all employment questions

8.  Then Constraints.

9.  References/background check

10.  Then Email authorization.

11.  Make sure his contact info

12.  Make sure resume format.

13.  Tell him our expectation/process

14.  Complete the discussion.

Questionnaire:

Recruiter Training:

Be comfortable while talking to the consultant. Get rid of your fear. Know past history of client and more info about client like hiring policy, Viva benefit policy or if there is any background check needed

Only if you are comfortable in talking he /she will open out himself and can give you all the information, you need to have a fruitful submission and so that he also associates Viva as trustworthy and employee oriented company. Be truthful.

CALL the consultant- it is mandatory.

Leave message if you reach his voicemail- Leave message professionally as” with confidence voice… and with clarity “Hello I’m Raghu (Spell your first name slowly) from VIVA USA.IT consulting firm based in Chicago. One of the top vendors to Fortune 500 clients. We’re working with financial client in Washington. I see your profile is suitable to this job. I’d like to talk to you to provide more details to find your interest.Pl call me at 0000000 or my cell#:”Thank you. Then send email.

As soon as the consultant is identified,- Thanks him for sending me the resume. Do you think you’re suitable to this job? Can I say 100%? It means you did exactly same thing or 90% suitable. Do you have all the skills what we’re looking for?

If you get him online, follow the below steps:

1.  Start with greetings

“GM, how are you doing today?”

Introduce yourself

“Hi, I am ……. Calling from VIVA USA Inc. We are IT consulting firm based in Chicago with 10 years of successful existence in IT market.

Before you continue :ask him about his availability at the moment in order to you ensure that he has time to discuss in detail but to the point( as everyone’s time is imp) about the opportunity which will help you to screen him

“Is this the right time to talk to you, so that I can brief you about my company and wonderful opportunity I have for you with my client I’ve questions to ask you before submission?”

If it is the right time for conversation, brief him about Viva -

“VIVA is one of the top vendors to Fortune 500 clients, nationwide. We’re working with AT&T, Washington Mutual and other clients.(Include local clients in the list-Need to know other top clients in that state who is hiring contractors).We do contract contract to hire and perm positions as per client needs. We’ve around 300 consultants. We provide various benefits to our consultants like.401K, health insurance (dental/vision/life). We sponsor H1 B, GC (tell them if he not to GC or citizen). For our consultants”

3. Matching skills/Job description/Technical skills

Firstly, confirm if the name on the resume is his full legal name.

Type of opportunity:

Are you looking for Permanent opportunity or Contract? What is your first preference and why? (If he is looking for perm. red flag. But continue.)

Job description and his skill match with the same:

“Mike, I have an urgent req with my client who is looking for Sr. java Developer? “

Discuss about the req technical skills and explain the role. Ask him

“Do u think you are excellent match for the requirement? How do u think so?”

“Can you rate yourself on scale of 1- 10 (10 being highest) on J2EE”

Try to check his command / conformability with the technical skill required by rating himself. Check his strength and weaknesses against each skill set reqd in req.

Check his communication skills

Any submission with same client:

Have you ever submitted for this kind of job in past 1 month with any other consulting firms or directly to HR? Because double submission will disqualify you. If you don’t know, will you give us exclusivity? We’ll send you email authorization.

His experience:

How many yrs of exp in IT? US exp? (Ask this if he is not US Citizen) Key skills/mandatory skills exp on each. (Java exp? Struts Exp? C++? Broad vision exp? ecommerce exp?) List of skills used in current/previous project?

Education:

When did you finish your degree?(If client needs degree certification for education verification, we might request you.)

Do you have any certifications?(CCNA or .net)

4. Rate

Ask him about rate part “Do u take decisions about rate?”

If yes, “What kind of rate u looking for? Is there any flexibility in rate and by how much?

Please confirm the Rate/Salary:” Is it with benefits or without benefits?Pl explain benefits package. Insurance details..+ biweekly pay through Direct deposit…

If he is relocating,is this rate covers relocation, his benefits?Is he comfortable with the rate? If he is a subcontractor consultant-Are you working on salary basis?

If no, “Can u provide me the your employer details, so that I can discuss with him?”

5. Work Authorisation .

“ What is you Visa status? How long is your present status valid- what is the xpiry date? Who is holding your visa? We’ll ask for copy from your employer before interview.(if we don’t get it, will drop the interview.Pl remember to get it before interview.) How long you’ve on this Visa?

6. Employment Status(W2…)

Will you like to work on Temp W2 or 1099 with us as it is important for recruiters to know before the submission. Also let me know if you would be interested in Perm W2 now or in near future

7. Then asking all employment questions

Ash him a bout his project “ Are you currently on project ? If yes “ When is you project ending and how soon are you available for my opportunity- how many weeks notice do have to give? Is there any possibility of extension”

If no “ when did your last project end? What was the reason of leaving current/ last project? When did u start looking for new project?”

Current/ last work profile:

“What is your role in current/ previous project ?

Have your ever done the same kind of work what we are looking for?

Have you ever worked with the same client ? how long ago ( plz read hiring policy)

Check his likeness for our opportunity :

Why do you like this job?

His goals/ objectives:

What is your long term objectives? Short term objectives? In other words,what is your future plan?Do you want to continue your carrier as Java or willing to learn other skills?(if he is temp w2,If he asked about tuition reimbursement, we don’t do now. We may consider if you complete 1 yr with us and perform well.).

Any past experiences:

“Past experience with other recruiters or consulting companies? Anything specific they liked or disliked in the past with other recruiters?”
(This may help us understand what a candidate likes and does not like – and we do not annoy them by doing things they do not like.)

Vacation plans :

Ask him “ Are you planning to take any vacation soon or during the project duration?”if yes “ Do u have any other no. where I can get hold of you as client usually replies back in 2days or 2 weeks.”

8. Then Constraints..

Location

“Are you located close to this project location? How long you’re living in this place? How far the commute is?(If it is too far, ask them if they get something closer, will you accept this or that?) Are you comfortable in commuting? If relocating, what’s her/his motivation to move ? Has he/she worked there before ? Any friends/relatives living in the area ?

Potential Opportunities:

Are you actively looking for job?

Any other opportunities in the pipeline? Have you done any other interviews ? How long ago?

Any offer acceptance(if given) , constraint:

Once we make the offer, will you take up this job?what is your decision criteria? Project?client?(if he is relocating) is his family ok with this job/location/Salary/rate

If you don’t accept our offer for some reason or changing your mind for rate,perm job,agency, will you let me know openly as soon as before/after the interview is over. We need your total satisfaction with VIVA.We’ve placed more than 100 contractors with this client. If you don’t communicate, it will put VIVA and me into risk. we request you to communicate with us.

Type of Interview:

“Are you available for in-person interview?”

9. References/background check

References:

“I need couple of references, now.(ask them Spell their names ..It will show we’ll be calling them for sure.) Can we have permission to check the References? Recent ones. Project managers only. Were you a team player? Was it stressful environment? Can you pl set up the references for me?(ask them to set up).

Background check:

After the confirmation, we'll do background check.(Pl check client background check criteria) It is important to this client. Is it fine with you? Do you have anything(convictions..) with your background check/Drug test/credit check? that we need to know?

10. Then Email authorization..

Thank you for allowing VIVA to submit your resume. I’m sending you email authorization. Pl confirm.(pl send while talking)Only then I will be able to submit.

11 Make sure his contact info

What is your plan for next 2 days to 2weeks? Usually our client come back immediately. Sometimes it takes 2 weeks. How can I contact you to do the interview? Is there any other tel numbers?

12 Make sure resume format..

Ask them to format the resume if they’re free now. OR

Can we have permission to format the resume?(Since system is reviewing, we need to add all the key skills.) You’re selling your capability through resume. Can we do it while you’re on the line now or Can I format and send it to you?Will you send me your approval? We need to submit the resume right now. Without your approval we can’t submit.

13.Tell him our expectation/process

Next process is,after submission, we’ll let you know as soon as we hear from the client. Before interview, we’ll do interview prep. So my account manager will call you ( give acc manager name for that specificaccount/ client) for the same. After interview,we’ll be checking with your feedback.After confirmation,HR dept will send you paperwork.

During time of paperwork, We’ll ask you bring your documents like Drivers license or passport,(If GC or H1B,bring the copy of GC,H1B) to verify your work authorization/citizenship and others.If 1099-Provide these documents.. Will you provide?)

We’ll ask for your picture to create badge once we get confirmation.(AT&T)

Client will ask for SSN # to submit your resume. Will you give me or email me last 4 digits. That is enough.

Our account manager will see you whenever he visits client.Otherwise,you can call me anytime.I’m at your service.Again my name is Raghu from VIVA.

14. Complete the discussion.

Step 7 : Tips for Personal Interviews

(Pl try 4 steps with sub. )

1. First and foremost option: Ask vendors to take care of 100% expenses and book the tickets themselves. Try this as a first step of negotiation.

2. 2nd option: If consultant gets placed, vendor will take care of 100% interview cost. If he doesn’t get placed, VIVA needs to bear 50% cost. Payment will be as per our payment terms (Net 45 days). We ask vendor to arrange travels.

3.3rd option: 50/50%. sub face to face interviews, we split 50% with the companies whether he gets placed or not. Payment will be as per our payment terms (Net 45 days). We ask vendor to arrange travels.

4.Fourth option: If it is temp w2, not making enough mark up, ask consultant to split 50%.

If it is our own project, if we’re making profit, then after the phone screen, we can fly him out. It is our 100% cost. If it is Temp W2, if we’re making profit, after phone screen, we can fly him out. It’ll be our 100% cost.

Only if it is business case sure placement after phone screen, we’ll take care of 100% cost(MGT approval needed). Otherwise, no.

So, you can try options 1,2,3. If they don’t work, use 4th option.)

Step 8: Questions to be asked while doing reference check for the consultants:

When did he work for you? Or How long he worked for your company? How is his personality? working style? Ethics? He said that he did .net framework in your project. Did he do it fast or slow? Did he get any appreciation from you for completing the project early? Was he team lead or team player? Was he independent player without much supervision? He said your environment was stressful. Was he able to cope up with? Will you recommend him for the job? Will you rehire him?
