KLEIN COLLINS BAND ASSOCIATION MEMBERSHIP MEETING
October 3, 2016
KCB President Julie Evans called the meeting to order at 7:05 in the Klein Collins Band Hall.

REPORT OF THE BOARD:
- Secretary – Jenn Hatch – All volunteer hours for September need to be turned in to her by October 4, 2016
- Treasurer: Kim Miller – Reviewed updated financial handouts
- Budget Report: Cheryl Denney- Reviewed updated financial handouts
- Governance: Shelly Lieder- No updates at this time
- Fundraising Chair: Kimberly Harte – Discussed updates to planning the Fun Run. She is reviewing past runs that were done in the district. There will be sponsorship opportunities that will include the following: water stations, banners, prizes for the winners, gift bags, food, post race party and giveaways for participants. Kimberly will create an email to share with Julie to send to band with information. Someone brought up the possibility of the Cross Country team hosting a similar run in February. Board agreed to look into the matter further. Kimberly also discussed having a logo contest with the band students soon. More information to be shared by end of month. The group also discussed the regulations of booster clubs and fundraising. We are only allowed to have 3 fundraisers and we are looking to verify if spirit sales counts as one. As of now we are listing the following: 1. Program Ad Sales, 2. Fun Run, 3. Spirit Sales OR Carnations. We will wait to hear the updates and clarifications for this. Kimberly also reminded the group of the next Spirit Night at Chick Fil A on October 20th, and will need adult volunteers to help with the Spin Wheel.

COMMITTEE REPORTS:
Chaperones: Deana Striklin – Deana reminded parents that it is critical to ensure you are able to really chaperone when you sign up. While she understands sometimes things happen, need to try and reduce the number of last minute cancelations. In an effort to streamline communication during a chaperoned activity, Deana will be communicating directly with the directors. She can then update chaperones as needed via GROUPME. Chaperones will now be meeting in the percussion room. There will be a need for chaperones for the Haunted House activity to take place on Saturday, October 22. Keep an eye out for SIGNUPGENIUS if you are interested.
Sponsorship – Working on obtaining the official sponsor list for the district so we know whom we are not allowed to call on. A solicitation letter is being drafted and will be shared soon.

Feed The Band: Julie Wood – Money due for the next game. Other opportunities will be upcoming contests.
Guard – Nothing at this time
Hospitality: Jennifer Miller/Carole Rendl – Discussed upcoming Pizza night that will take place after the game on October 21 and obtaining from Pizza Zone again. Drinks will also be provided. May need volunteers to help serve, could be the chaperones from the game.

Pit Crew: Jose Villarreal – Crew is doing a great job!! KCBA expressed appreciation for them and the work they have been doing. They shared that more grass graphic panels have been ordered and may need help in assembling.
Program Ad Sales: Mosadi Porter/David Broussard – Need help selling at before football games.
Spirit Sales: Shelly Lieder – Processing final orders and will email extra inventory to try and sell. Asked for clarification and update on the Show Shirt order.
Uniforms – Washing to take place on Thursday and will confirm if this includes guard.
NEW BUSINESS
- 8th Grade Night – Overall went well, but will ensure that there are different volunteers to help with hosting the 8th graders versus the chaperones for the game.
- Band Directors Report – Reminded parents that they would not be responsible for Mums brought into stands at Homecoming Game. Discussed Lone Star Preview details and thought we would be a late time slot for UIL too. Mr. Rugila updated the parents with the recent restrictions placed on the band students due to many areas of concern in behavior. They will reinstate privileges when they see the students improving. He asked that students where white shirts to rehearsal as it helps with placement notifications.
