Free Use of Marshlands Information

Eligibility criteria

Charities and start up groups based in or primarily serving the town of Seaton are eligible to apply.

When will you know if the free session has been granted

Applications will be considered at Full Council Meetings in either :- September, December, March or June.

How many sessions can I apply for?

Each application should be for either a morning, afternoon or full day session only. Only one application per organisation will be considered at each relevant council meeting.

How will the council decided

The council will grant a total of 12 free sessions per year, allocated pro rata at each of the 4 designated meetings.

Is there any charge?

The main room at Marshlands will be free. However charges will be made if the kitchen is used for food preparation and if refreshments are required.

Refreshments

Applicants are very welcome to use the crockery and kettle provided in the kitchen free of charge, providing everything is left as it was found

Room Hire Terms & Conditions

Cancellations:

Cancellations must be received 10 working days before the date of the booking.

Access / Departure

  • Please allow for set up and clear up time in your booking
  • All those attending must leave the building by 11pm unless by prior arrangement
  • Please ensure all equipment and personal property belonging to the organisation hiring is taken with you when you leave the premises. STC will not be responsible for equipment and personal items left behind.
  • I agree to be responsible for the repair of all damage to the Function Room and, if appropriate, the kitchen, occurring during the period of hire, through negligence, vandalism, carelessness or irresponsible behaviour on the part of the hirer, their guests or customers.
  • I agree to be responsible for the removal of all rubbish and refuse left behind, and for leaving the premises clean and tidy.

Parking

Limited parking is available on a first come, first serve basis in designated spaces signposted ‘Seaton Town Council – Private Parking’. Please ensure that you and your guests park safely and courteously.

Safety

  • Smoking is not allowed in any part of the building, including the use of e-cigarettes and vaporisers
  • The event organiser is responsible for the prevention of any activity that could endanger public safety, e.g., disorderly behaviour, overcrowding
  • In the event of a fire, please leave the building by the nearest exit door and call 999. Please assemble at the Fire Assembly Point in the car park. All those attending must sign in at reception.
  • All electrical equipment to be used must have relevant PAT certification issued by a qualified electrician.
  • The Hirer is responsible for ensuring that health and safety regulations are complied with. Any accident must be recorded by the Hirer for their own records and in STC’s Accident Reporting Book kept at the Reception Desk. A First Aid Kit is situated in the Kitchen off the main Function Room
  • STC reserves the right to ban any individual or organisation that causes damage, is involved in a criminal act, or prevents in any way the authorised users of the premises from going about their lawful business.

Alcohol

STC does not have a license to permit alcohol to be sold on the premises. Alcohol may be provided by the event organiser but on a non-commercial basis.

Pets

Guide dogs and hearing dogs are welcomed. No other animals or pets are permitted on the premises.
