RAYC INCIDENT REPORTS
1. A reportable incident is defined as:
a. Any incident which is liable to result in an insurance claim (whether a third party is involved or not). (Insurance excess is £350.)
b. Any incident which causes damage which may impair the seaworthiness or sailing operation of the yacht.
c. Any loss or damage which is likely to cost in excess of £350.
d. Any contact with another body below the waterline. This includes all groundings, strikes of foreign bodies and wrap arounds of the prop or rudder.
2. Action to be taken in the event of a reportable incident
a. Immediately conduct necessary repairs to ensure the integrity of the hull and to make the boat safe.
b. Reportable incidents should be reported as soon as possible by telephone to the Captain of Boats, Bosun and Hon Treasurer. Any lesser damage or incident should be recorded in the HOTO sheet.
c. Do not admit liability to any third party.
3. The contacts below will decide upon subsequent action to be taken with the yacht.

4. The report should include the following:
a. Nature of Incident (i.e. collision, grounding, equipment loss, accident).
b. Date/ Time of Incident.
c. Location of Incident. (Lat/ Long)
d. Skipper’s Name & Qualification.
e. Skipper’s Contact Details. (e-mail and Tel)
f. Mate’s Name, Qualifications and contact details.
g. Other parties involved details (i.e. name of other vessel, contact details of skipper).
h. Names and contact details of witnesses including those on the RAYC yacht and other boats involved and Coastguard, RNLI etc (if informed).
i. Description of damage or loss to RAYC yacht, property, or equipment.
j. A written description of the incident in your own words and accompanied with diagrams showing all relevant factors (i.e. wind, tide, other vessels, stationary objects).
k. Photographs of all vessels or other objects involved, including photographs of damage will be required to assist with the insurance claim.
5. The Hon Treasurer will be the POC with the insurance company. Do not contact them direct unless it has been impossible to contact the Hon Treasurer. Insurance details may be passed to the third party if requested.
