ADVISORY COMMITTEES
An advisory committee is defined as a group of persons experienced and knowledgeable in their particular occupation and/or community consumers, alumni and current students chosen to advise educators about various aspects of the technical education for a particular technical program.
ORGANIZATION OF ADVISORY COMMITTEES
Each instructor will appoint an advisory committee for their program. Advisory committees are used to ensure that desirable, relevant, and current practices/trends of the occupation are included in the education.
EACH ADVISORY COMMITTEE MUST:
· Consist of a minimum of three members external to the institution
· Represent the geographical service area covered by the programs taught by the institution
· Have expertise in the occupational areas taught by the program
· Meet at least twice annually
· Have at least two members who meet these criteria for membership physically present and one virtually present at each meeting
· Keep minutes to document their activities, recommendations, and meeting attendance
ADVISORY COMMITTEE ROSTER
· The attached roster template must be used to document information about your members
· The roster from the prior year will be emailed to instructors by the assistant director’s secretary at the beginning of each school year
· Instructors are to review, update and email the roster to their supervising administrator by September 1
ADVISORY COMMITTEE MEETINGS
PLANNING
· Meet at least twice annually (Fall meeting is a school-wide luncheon followed by individual advisory committee meetings)
· Using the attached templates for fall and spring meetings, instructors are responsible for writing an advisory committee agenda
· Agendas must be emailed to the supervising administrator for approval three weeks prior to meeting
· Administrator will review and approve the agenda and return email to the instructor and assistant director’s secretary
· Instructors must email the following to the advisory committee members two weeks prior to the meeting
o Meeting agenda (Fall/Spring Meetings)
o Employer verification form (Fall Meeting only)
o Program Syllabus (Fall Meeting only)
o Minutes from previous meeting (Fall/Spring Meetings)
· Instructors should meet with their assigned support staff secretary to review agenda, minutes template and expectations for the meeting
· Arrange for refreshments for the spring meeting through your supervising administrator
DURING THE MEETING
· Start and end on time. Ideally meetings should not last more than one hour.
· Have sign-in sheets ready and update contact information
· Create a welcoming and comfortable environment by introducing members and creating a forum for discussion and feedback
· Review agenda
· Keep discussion on track
· Watch your time
· Summarize what you hear
· Encourage participation
· Thank members for their participation
· Review date for next meeting
AFTER THE MEETING
· Instructors should meet with their support staff secretary to review the new set of minutes
· Instructors should email minutes to supervising administrator no later than one week after the meeting
· Administrator will review minutes and upon approval will email approved minutes to the instructor and assistant director’s secretary
· Instructor should send a follow up email to advisory committee members thanking them for their participation and include the draft minutes and the next scheduled committee date
EMPLOYER PROGRAM VERIFICATION FORM
Employer Verification Forms are the mechanism by which we can verify that local employers have reviewed admissions policies, program content, program length, program objectives, competency tests, instructional materials, equipment, methods of evaluation, the skills and/or proficiency required for completion, and appropriateness of the instructional delivery method(s) for the program.
Instructors are responsible to obtain:
· Three (3) Employer Program Verification forms for each program area
· This form must be signed by an employee who is in a position to make hiring decisions on behalf of the employer
· All three verification forms must be submitted to your supervising administrator one week after the meeting along with the draft of the minutes for that meeting
