POSITION DESCRIPTION:
EXECUTIVE PERSONAL ASSISTANT to the SENIOR PASTOR at BEL AIR CHURCH
INTRODUCTION:
Think of this position as an 'air traffic controller.'
Air traffic controllers must maintain the safe, orderly and expeditious flow of airplanes in the air and on the ground in the global AIR system. An air traffic controller position requires specialized knowledge, skills and experience. Air traffic controllers make real-time decisions, autonomously, throughout their shifts and carry very significant responsibility. Air traffic controllers, themselves, describe their jobs as 'challenging' and sometimes 'stressful,' but overwhelmingly, they feel 'privileged' to serve.
The Executive Personal Assistant to the Senior Pastor at Bel Air Church, needs to be a 'controller,' responsible for the orderly and expeditious execution of the duties of the office of the leader of a mega-church as well as the personal calendar activities of the Senior Pastor. The person in this position has to 'land' the Senior Pastor, every day, all day long, in the right places.
Special skills are essential, as noted below.
This position is one of significance because the 'controller' will interact with -- and screen -- a wide range of people, many with special needs to be heard and or acted upon. The position is challenging, yet, promises to be extremely rewarding, in contributing to the saving of souls.
FIRST REQUIREMENT:

SPECIFIC RESPONSIBILITIES:
Devise and manage office system to ensure that the Senior Pastor engages in daily/monthly priority matters by maintaining Senior Pastor's calendar; by making appointments for the Senior Pastor; by keeping Senior Pastor on time; by ensuring Senior Pastor is prepared with proper materials for his meetings.
Will ensure timely follow up on all Senior Pastor's points of contact to include staff, church elders, congregation members, city officials and outside partners to Bel Air Church.
Will screen phone callers, emailers and visitors; will redeploy to other professionals, if appropriate; will manage conflicting needs.
Will meet and greet visitors to Senior Pastor.
Will produce documents, reports and or presentations required by Senior Pastor.
Will participate in prepping for selective Church events.
ESSENTIAL SKILLS NEEDED:
Integrity, honesty, reliability, discretion, full understanding of necessity for confidentiality in this role;
Excellent interpersonal skills with high-functioning etiquette habits;
Ability to follow through on all daily open items of the Senior Pastor;
Ability to multi-task and work under the pressure of changing priorities;
Exceptional detail orientation with particular regard to Senior Pastor's calendar;
Excellent written and oral communication skills;
Excellent word processing skills including full knowledge of a range of software programs, ability to create spread sheets for budgeting, ability to complete expense reports; ability to manage Sermon Schedule and all other timetables emanating from the Senior Pastor's office.
QUALIFICATIONS:
Four year college degree or the equivalent in professional secretarial courses and or training.
Demonstrated qualities of flexibility and tolerance.
WORK EXPERIENCE:
Ten years of relevant experience as a Personal Assistant; Minimum of two years additional experience as an EXECUTIVE LEVEL Personal Assistant, having served organization leader.
WORKING SCHEDULE:
9 to 5, Sunday through Thursday, but at varying times of the year, this work schedule may be shifted to meet Church needs.
