Community Management Team Meeting Minutes for the 20/11/2013

Community funding

  • Discussion over when the funding would be available
  • Alyce to check when funding will be in WCRC account – Alyce talked to Frances Keating at WCRC and funding should be in WCRC account on 20 December 2013 – Juliette is fine with this and has said to go ahead with planting (I wanted to makes sure of this before advertising occurred or the word got out too much).

Planting Dates

  • Discussion over which sites to plant considering the time of year.
  • Agreed to work on Ryder Road/ Mitchell’s community site first due to this being a wetter site than the others and will be less likely to dry out.
  • Did consider getting the community to water the other sites but agreed that this would be too hard.
  • The above points led to the agreement that planting for Poerua Scenic Reserve, Homestead Creek and Iveagh Bay should occur in autumn next year with spring that year being a back up time if planting is not completed before the end of autumn.

Spraying

  • Agreed that spraying should be done about a week before planting. - Rosalie to organise for the Mitchells site.

Planting dates

  • Planting dates for Ryder Road/ Mitchells will be on Friday 6 and Saturday 7 December between 10am and 4pm wet or fine. This will aim to get a wide variety of people to come along.
  • Alyce to check with Richard Hogue that he is happy with this and is willing to put a temporary fence up to exclude stock from getting into the area. – Alyce talked to Richard and he is happy for the planting and spraying to occur. He will not be putting a temporary fence up due to the cows not getting into the paddock anymore.
  • This will be a trial run to see how many people will come to a planting day and then we can set other planting days from here.
  • There was discussion over toilets available. Rosalie said that Tom out at Mitchells would possibly allow us to use their toilet. - Rosalie to look into. (I had a chat with Hamish (at WCRC) and we have got Portaloos available if we need them).

Advertising planting days

  • Alyce to do advertisement
  • Phil to send advertisement out to email list
  • The school newsletter – Renee to organise
  • Phone around people – Rosalie
  • Put advertisement on notice boards – Alyce to send Rosalie and Rosalie to print off and put on notice boards (pub, garage, and park).

Information in advertisement - Alyce to do

  • Date, time etc
  • Bring: Food, water (fluids) sunblock, hat, wet weather gear, gum boots, spade, gloves
  • Map of how to get to the site (directions)

School involvement for future planting days

  • They would like to put it into their curriculum and come and help out at a planting day. – Renee to organise.
  • Get Jonny Horrox to talk to the kids about water quality – Alyce to organise – Alyce talked to Jonny to get initial thoughts and he is keen to do this.

Signage for community group sites –Alyce to organise

  • Each site
  • 1m X 1.5m sized sign
  • Photo of people working on the site
  • Background to the project – funding from MfE, for works on farm land and community sites, why – Water quality. Key words: maintain, enhance rather than words like improve etc. Note how many groups involved (DOC, Fish and Game etc.)
  • Mention management team?
  • Logos, of MfE, WCRC and Landcare Trust, Maybe WMP.
  • Poerua Scenic Reserve/ Homestead Creek
  • Instead of having two signs for each site, have one larger sign that incorporates both sites and will mention the above information and mention the walk to Homestead Creek.
  • Iveagh Bay and Ryder Road/ Mitchells – will just have the standard information on them.
  • There was no discussion over colouring but could you please let me know the sorts of colours that you would prefer please?
